Requirements and Skills

Experience as an Finance and in Administration

Knowledge of office management systems and procedures

Working knowledge of office equipment including Apple devices;

Working knowledge of Labour Law;

Proficiency in MS Office (MS Word, MS Excel and MS PowerPoint)

Excellent time management skills and the ability to prioritize work;

Attention to detail and problem-solving skills;

Excellent written and verbal communication skills;

Strong organizational skills with the ability to multi-task;

RESPONSIBILITIES:

FINANCE

A. Responsible for tracking all accounts payable and receivable;

B. Payments – making sure clients pay and inform operations team to start with the bookings;

C. Reports – keep the management system updated to track sales, costs, and expenses per month;

D. Expenses control of all departments – checking admin and operations invoices (both clients and suppliers) before proceeding with the payment;

E. Processing of payroll, administrative and operations payments (with the accountant);

F. Salary & commission calculation;

G. Tax Invoices – checking all tax invoices for the VAT filing Process along with Accountant;

H. Company's budget and forecast management;

I. Payment Link Generation;

J. Petty Cash Control;

K. Tax invoice generation (once client's payment is received).

Administrative Duties

A. Company documents – maintain and update/renewal of company documents;

B. Inventory control – maintain supplies (office, Kitchen, gifts, uniforms, abayas) inventory, anticipating needed supplies, research new deals suppliers and placing/expediting orders from supplies;

C. Insurance – renewal of Employees, Company and vehicle insurance;

D. Company Car – maintenance, fuel/SALIK/DARB recharge, manage GPS locator app;

E. Provide support / assistance to company and employees' needs;

F. Supervision of company's assets including contact IT for support;

G. Maintain suppliers database, contract and logins spreadsheet;

H. Other administrative duties: Answer and direct phone calls, organize and schedule appointments, Write and distribute email, correspondence memos, letters, forms, Liaise with executive and senior administrative executive to handle requests and queries from senior managers, Assist the financial department in filing invoices, Develop and maintain a filing system.

Job Type: Full-time

Starting salary: AED3,500.00 – AED4,000.00 per month

Ability to commute/relocate:

· Dubai: Reliably commute or planning to relocate before starting work (Required)
