Your tasks

  1. Support Procurement and Logistics team in sorting, dispatching, filing, and processing invoices and other documents.
  2. Create purchase orders in ERP for processing invoices.
  3. Timely, accurate, and efficient preparation and management of SCM documents.
  4. Control the numbering, sorting, filing, storing, and retrieval of both electronic and hard copy documents produced for SCM team by Technical, Projects, or other departments.
  5. File and archive relevant documentation.
  6. Create templates for documents, file types, and document databases.
  7. Check and edit documents for accuracy and compliance.
  8. Control the flow of documents in and out of the department.
  9. Generate Goods Received Notes (GRN).
  10. Analyze data for process improvement and collaborate with suppliers and internal teams.
  11. Support the smooth running of the supply chain department through administrative duties.
  12. Accurately record and track file movements within the organization.
  13. Set up, copy, scan, and store documents.
  14. Manage requests for documentation.
  15. Review and maintain the accuracy of records, editing where necessary to ensure they are up to date.
  16. Maintain confidentiality around sensitive documentation.
  17. Generate reports and prepare presentations.
  18. Demonstrate negotiation and interpersonal skills.
  19. Prepare, analyze, and understand feasibility study and market study updates.
  20. Exhibit a very good command of English communication, both written and verbal.
  21. Secure additional information on departmental/office needs and prepare recommendations on vending sources.
  22. Search and qualify new suppliers based on the project’s needs.
  23. Examine and analyze departmental/project purchasing needs to set an effective procurement plan.
  24. Routinely interpret GRADE purchasing policy, process, and procedures to provide recommendations about areas of consideration to the Procurement/Logistics Manager.
  25. Help manage and track all GRADE purchases with vendors and requestors, including contract duration and expiration.
  26. Seek new vendors who may qualify to do business with GRADE and identify vendors for purchasing.
  27. Ensure updated vendor database and items master list.
  28. Support Supply Chain Officers whenever necessary.
  29. Track project and general materials orders and delivery times.

Your profile

  1. Bachelor's degree in Engineering, Business Administration, Finance, or relevant certificate.
  2. 3 years of experience as an administrator/document controller with basic knowledge in Procurement and Logistics.
  3. Proficient in MS Office Excel and Word.
  4. Knowledge in ERP system / MS D365.
