  • Ensures that the clinic opens ontime and that the schedule of the physicians is open as perpolicy.
  • Makes sure that all patients are calledto be pre-screened and to check if they confirm theappointments.
  • Follows up on the no-shows andcancellations and ensures that they are together below 15% and thatthe attendance is more than 85%.
  • Ensures thatthe staff are following up on the approved tests that are notutilized ensuring that the patients are contacted to come and dotheir tests.
  • Supervise the work of the staffensuring high patient satisfaction and a smoothworkflow.
  • Liaises with marketing to ensure allthe offline and digital material reflects the current services ofthe clinic and the physicians.
  • Ensures all newphysicians and staff have a clinic-specificorientation.
  • Ensures attendance by all Clinicstaff, Information Desk and Porters at clinic-based in-services orother educational events asrequired.
  • Participates in Clinic-wideperformance improvement activities.
  • Promotesincident, customer complaint and patient satisfaction surveyreporting to improve patient and familycare.
  • Reviews all/any incidents, occurrences,near misses and complaints within the Clinic and report findings asper the Hospital Policy.
  • Liaises with the FrontOffice Director addressing and“troubleshooting” clinic operational problemsas they present themselves on a day-to-daybasis.
  • Provides direct supervision to thestaff. Organizes and communicates their assignments andresponsibilities.
  • Ensures 100% attendance forstaff at mandatory in-service and completion of Clinic andunit-specific competencies and continues educationprogram.
  • Ensures ongoing individual performanceappraisals are objectively completed for staff members against setcriteria.
  • Assists with action plans arisingfrom these appraisals as necessary. Provides clear feedback to teammembers in a manner that is conducive to maintaining and improvingperformance. Counsels and/or disciplines staff whenappropriate.
  • Promotes the effectiveorientation, precepting and support of new staff. Provides awelcoming work environment for new staff and ensures appropriatepreceptors are made available to assist with orientation. Monitorsand tracks individual progress.
  • Participates inthe recruitment of staff and encourages and promotes the retentionof all staff.
  • Establishes and maintaineffective administrative process in the unit.
  • Prepares quarterly reports of the clinicoutcomes.
  • Assists the director of the clinic inconducting monthly QI meetings including preparing the agenda,writing the minutes and following up on what was discussed andsending the signed minutes to the Qualitydepartment.
  • Organizes systems training with newPatient Relations staff. Schedules new staff for training, assignstrainers, monitors progress, and addresses trainingdeficiencies.
  • Organizes and conducts educationto PRR, whenever the need arises.
  • Liaises withthe IT department in addressing and“troubleshooting” IT-related operational issuesas they present.
  • Monitors cash outstanding/Employer details report on a daily basis. Investigates all accountsof patient walkouts, and late chargesentries.
  • Provides financial training to thePatient Relations Executives in the clinic to reduce cashoutstanding episodes.
  • Works collaboratively andeffectively with the finance department and other Clinic staff toreduce cash outstanding.
  • Liaises with theInsurance Department to resolve registrationerrors.
  • Reassigns clinic staff to cover clinicareas in times of illness or vacations in collaboration with ClinicManagers.
  • Ensures that all Staff are proficientin “Down TimeProcedure”.
  • Performs all duties andtasks as per the hospital Code of Conduct and in line with thehospital's Vision and Mission.
  • Adheresto hospital charging and accounting policies andprocedures.
  • Ensures a safe working environmentthrough strict compliance with Hospital Policy and Proceduresregarding safety, infection, andsecurity.
  • Performs other related duties asassigned.
  • Acts as a backup as a clinicsupervisor to another clinic in the absence of other clinicsupervisors.
QUALIFICATIONS
  • Bachelor’sDegree in BusinessAdministration

PROFESSIONALEXPERIENCE:

  • At least 5years of experience in a management capacity in a clinic or similarsetting
  • Full knowledge of Clinicservices
  • Knowledge of MedicalTerminologies
  • Computer application literacy (inCerner, Oracle, Excel, PowerPoint,etc.)
  • Excellent English verbal and writtencommunication skills
