We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. The ideal candidate will be computer savvy and a fast typist with a keen eye for detail. You will report to a data manager or another senior data team member. Understanding of data confidentiality principles is compulsory.The company will rely on you for having accurate and updated data that are easily accessible through a digital database. Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs, and managing our company s general administrative activities.What does an Administrative Assistant do?:Administrative Assistant responsibilities include making travel and meeting arrangements, preparing reports, and maintaining appropriate filing systems. The ideal candidate should have excellent oral and written communication skills and be able to organise their work using tools, like MS Excel and office equipment. If you also have previous experience as a Secretary or Executive Administrative Assistant and familiarity within our industry, we d like to meet you.Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operation of our office.Responsibilities:Answer and direct phone callsOrganise and schedule appointmentsPlan meetings and take detailed minutesWrite and distribute email, correspondence memosAssist in the preparation of regularly scheduled reportsDevelop and maintain a filing systemTransfer data from paper formats into computer files or database systems Type in data provided directly from customersCreate spreadsheets with large numbers of figures without mistakesVerify data by comparing it to source documentsRetrieve data from the database or electronic files as requestedPerform regular backups to ensure data preservationSort and organise paperwork after entering data to ensure it is not lostUpdate and maintain office policies and proceduresOrder office supplies and research new deals and suppliersMaintain contact listsSubmit and reconcile expense reportsProvide general support to visitorsAct as the point of contact for internal and external clientsLiaise with executive and senior administrative assistants to handle requests and queries from senior managersRequirements :Basic Knowledge as an Administrative Assistant, Virtual Assistant or Office Admin AssistantKnowledge of office management systems and proceduresWorking knowledge of office equipment, like printers and fax machinesProficiency in MS Office (MS Excel and MS PowerPoint, in particular)Excellent time management skills and the ability to prioritize workAttention to detail and problem-solving skillsExcellent written and verbal communication skillsStrong organizational skills with the ability to multi-taskHigh School degree; additional qualification as an Administrative assistant or Secretary will be a plusFast typing skills; Knowledge of touch typing system is strongly preferredExcellent knowledge of word processing tools and spreadsheets (MS Office Word, Excel, etc.)Working knowledge of office equipment and computer hardware and peripheral devicesBasic understanding of databasesGood command of English both oral and written and customer service skillsGreat attention to detailHigh school degree or equivalentNote:Job descriptions are used for informational purposes only, are not to be considered all inclusive of responsibilities within a position, and may change periodically with or without notice.
