Job Summary
As a Technology Department Administrator, you will play a pivotal role in ensuring the efficient operation of the technology department within our organization. You will be responsible for providing administrative support, coordinating departmental activities, and assisting in the management of technology-related projects. This role requires strong organizational skills, attention to detail, and the ability to work collaboratively with team members.
Key Responsibilities
- Administrative Support:
- Manage and organize departmental documents, files, and records.
- Schedule meetings, appointments, and conference calls for department members.
- Prepare and distribute meeting agendas, minutes, and action items.
- Handle incoming and outgoing departmental communications, including emails and phone calls.
- Coordinate travel arrangements and accommodations for department staff, when necessary.
- Project Coordination:
- Assist in the planning and execution of technology-related projects.
- Track project timelines, milestones, and deliverables.
- Maintain project documentation and update project status reports.
- Collaborate with project teams to ensure tasks are completed on schedule.
- Resource Management:
- Assist in the procurement of hardware, software, and other technology resources.
- Maintain an inventory of departmental assets and supplies.
- Track departmental budget expenses and prepare reports as needed.
- Vendor Relations:
- Liaise with technology vendors and suppliers to obtain quotes, place orders, and resolve issues.
- Review and process invoices and purchase orders related to technology purchases.
- Training and Onboarding:
- Coordinate technology training sessions and workshops for department employees.
- Assist in onboarding new technology department staff members.
- Data Management:
- Manage and update databases, spreadsheets, and reports related to departmental activities.
- Ensure data accuracy and integrity.
- Compliance and Documentation:
- Assist in ensuring departmental compliance with relevant policies, procedures, and regulations.
- Maintain documentation related to technology department processes and procedures.
Qualifications
- Bachelor's degree in Business Administration, Information Technology, or a related field (or equivalent work experience).
- Proven experience in an administrative or support role, preferably in a technology department.
- Strong organizational and time-management skills.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with project management tools and software is a plus.
- Ability to handle confidential information with discretion.
- Detail-oriented and able to multitask effectively.
- Strong problem-solving and decision-making abilities.
