Position Overview
The Automotive Service Advisor is responsible for managing the customer journey throughout the vehicle servicing and repair process. The role acts as the main communication link between customers, technicians, workshop personnel, parts teams, and management, ensuring customer concerns are accurately understood, repair requirements are clearly communicated, and services are completed efficiently and professionally.
The position requires strong automotive knowledge, customer-service skills, communication abilities, and commercial awareness. The Service Advisor is responsible for vehicle reception, service consultations, repair estimates, work-order management, customer updates, service recommendations, invoicing coordination, and after-sales follow-up while maintaining high standards of customer satisfaction and workshop performance.
Key Responsibilities
- Welcome customers professionally and provide a friendly, efficient, and professional service experience.
- Conduct vehicle reception and service consultations to understand customer concerns, vehicle symptoms, service requirements, and expectations.
- Obtain accurate information regarding vehicle history, mileage, previous repairs, warning lights, unusual noises, performance issues, and customer observations.
- Inspect vehicles with customers where appropriate and document visible damage, existing conditions, and reported concerns.
- Create accurate repair orders, job cards, service requests, and customer records in accordance with company procedures.
- Recommend appropriate maintenance and repair services based on vehicle condition, manufacturer requirements, mileage, service history, and customer needs.
- Explain technical issues, required repairs, service procedures, estimated completion times, and potential costs clearly to customers.
- Coordinate with technicians and workshop supervisors to diagnose vehicle problems and determine the appropriate repair or maintenance requirements.
- Review technician findings, diagnostic results, inspection reports, and recommended repairs before communicating them to customers.
- Prepare and explain repair estimates, quotations, parts requirements, labour charges, and additional service recommendations.
- Obtain customer authorization before proceeding with additional repairs or work outside the original service request.
- Monitor vehicle repair progress and coordinate with workshop teams to ensure work is completed according to approved requirements and schedules.
- Keep customers informed regarding repair progress, unexpected findings, delays, additional costs, and revised completion times.
- Coordinate with parts and procurement teams to confirm availability and delivery of required replacement parts.
- Identify suitable opportunities for preventive maintenance, genuine parts, accessories, service packages, and additional approved work.
- Achieve individual and departmental sales, customer satisfaction, retention, productivity, and service-related KPIs.
- Ensure all recommended services are presented professionally without compromising customer trust or service quality.
- Conduct final service reviews and confirm that completed work corresponds with approved repair orders.
- Coordinate vehicle inspections, road tests, quality checks, detailing, and final preparation before customer collection where required.
- Explain completed repairs, replaced components, maintenance requirements, warranty information, and future service recommendations to customers.
- Coordinate invoicing, payment, vehicle collection, documentation, warranty claims, and other service administration activities.
- Follow up with customers after servicing to confirm satisfaction and address any outstanding concerns.
- Handle customer complaints, service disputes, technical concerns, and delays professionally and escalate complex issues to management when necessary.
- Maintain accurate customer information, vehicle records, service histories, repair orders, quotations, invoices, and communication records.
- Maintain strong relationships with repeat customers, fleet customers, VIP clients, and other key accounts.
- Support customer retention through service reminders, follow-up calls, maintenance campaigns, promotions, and personalized service recommendations.
- Ensure workshop activities comply with manufacturer requirements, company procedures, health and safety standards, and applicable automotive regulations.
- Coordinate with technicians, workshop controllers, parts departments, warranty teams, and management to resolve operational issues.
- Monitor workshop capacity, appointment schedules, promised delivery times, and outstanding repair orders.
- Assist with service campaigns, recalls, seasonal maintenance programmes, vehicle inspections, and manufacturer initiatives where applicable.
- Keep up to date with vehicle technologies, diagnostic developments, manufacturer service requirements, new models, and automotive industry trends.
- Maintain a clean, professional, organized, and customer-focused service reception environment. Requirements
- Diploma or Bachelor's Degree in Automotive Engineering, Automotive Technology, Mechanical Engineering, Business Administration, or a related discipline is preferred.
- Previous experience as an Automotive Service Advisor, Service Consultant, Workshop Advisor, Service Consultant, or similar automotive customer-facing role.
- Strong understanding of vehicle maintenance, mechanical systems, electrical systems, diagnostics, servicing procedures, and common automotive repairs.
- Experience working with dealerships, authorized service centres, independent workshops, automotive repair centres, or premium automotive brands is advantageous.
- Ability to understand technician findings and translate technical automotive information into clear and understandable customer explanations.
- Strong customer-service, communication, interpersonal, negotiation, and relationship-management skills.
- Proven ability to achieve service sales, customer satisfaction, retention, upselling, and other performance targets.
- Experience preparing repair estimates, quotations, work orders, invoices, and service documentation.
- Familiarity with dealer management systems, workshop management systems, CRM, POS, or automotive diagnostic/service platforms.
- Strong organizational skills with the ability to manage multiple vehicles, customers, repair orders, and deadlines simultaneously.
- Excellent problem-solving and conflict-resolution abilities.
- Strong attention to detail when documenting vehicle conditions, customer requests, repair requirements, and service histories.
- Professional appearance, confident communication, positive attitude, and strong customer-service mindset.
- Ability to work effectively in a fast-paced workshop environment and coordinate with technicians and other departments.
- Valid driving licence is preferred and may be required depending on the role.
- Additional automotive certifications or manufacturer training are an advantage.
- Willingness to work shifts, weekends, public holidays, and extended hours according to workshop and dealership requirements.
