The Role We are seeking a detail-oriented Documentation Officer to manage, organize, review, and maintain essential business documents and records. This part-time, fully remote position is ideal for an experienced administrative or documentation professional who can ensure information remains accurate, accessible, properly controlled, and aligned with established procedures. The successful candidate will work closely with internal teams and relevant stakeholders to support document preparation, version control, record maintenance, and continuous improvement of documentation processes.
Key Responsibilities
Prepare, review, format, and organize business documents, reports, forms, and records. Maintain accurate electronic filing systems, document registers, and controlled records. Monitor document versions, approvals, updates, and distribution requirements. Ensure documentation is complete, properly labeled, and stored according to established procedures. Coordinate with internal teams to collect, update, and maintain required information. Track outstanding documents, approvals, submissions, and administrative deadlines. Support the preparation of operational reports, summaries, and management documentation. Maintain confidentiality and appropriate access controls for sensitive business information. Identify missing, inconsistent, outdated, or inaccurate information and coordinate corrective action. Recommend practical improvements to document management, recordkeeping, and workflow efficiency. Requirements Bachelor’s degree or equivalent qualification in Business Administration, Information Management, Office Administration, or a related field is preferred. 3+ years of professional experience in document control, administration, records management, or a related function is preferred. Strong understanding of document management, filing, recordkeeping, and version-control practices. Experience maintaining structured electronic records and administrative documentation. Proficiency with document-management systems, spreadsheets, word-processing software, cloud platforms, and standard digital workplace tools. Excellent organizational and time-management skills with strong attention to detail. Strong written and verbal communication abilities. Ability to manage confidential information with discretion and professionalism. Strong problem-solving skills and the ability to identify documentation gaps or inconsistencies. Reliable, proactive, and comfortable managing multiple priorities independently in a fully remote environment.
