SOP Writer/Document Specialist

We are seeking a skilled SOP Writer / Document Specialist to develop, write, and maintain high-quality Standard Operating Procedures (SOPs) that support consistent and effective operations across the organization. The ideal candidate will have excellent writing skills, strong process understanding, and the ability to collaborate with multiple teams to capture and document workflows accurately.
Key Responsibilities:
SOP Development & Writing
- Draft, revise, and finalize SOPs that clearly outline operational processes.
- Ensure documents are easy to understand and aligned with organizational standards.
Stakeholder Collaboration
- Partner with department heads and subject matter experts to gather detailed process information.
- Participate in meetings/workshops to understand workflows and translate them into clear documentation.
Review & Continuous Improvement
- Regularly update SOPs to reflect process changes and compliance requirements.
- Ensure documentation aligns with internal policies, industry standards, and regulatory guidelines.
Compliance & Audit Support
- Conduct periodic audits of SOPs for compliance and relevance.
- Support regulatory inspections by providing access to required documents.
Training & Knowledge Support
- Create training materials and guides to support SOP implementation.
- Assist employees by addressing SOP-related questions and ensuring proper understanding of processes.
Documentation Management
- Maintain a well-organized SOP repository with appropriate version control.
- Implement document tracking and ensure accessibility across teams.
Qualifications:
- Bachelor's degree in Technical Writing, Communications, Business Administration, or a related field.
- Previous experience in technical writing, documentation, or process mapping (industry experience is a plus).
- Strong writing, editing, and analytical skills.
- Ability to simplify complex processes into clear and structured content.
- Proficiency in tools such as MS Word, Adobe Acrobat, Visio, Miro, Lucidchart, Notion, Trello, Process Street, SweetProcess, or similar documentation tools.
- Highly organized, detail-oriented, and capable of managing multiple projects.
- Strong interpersonal skills and ability to collaborate effectively.
Working Conditions:
- Office-based role with occasional visits to other departments or sites as needed.
- Ability to work under tight deadlines and handle multiple documentation requests simultaneously.
