Job Summary

The 
Client Communication In-Charge
 plays a crucial role in maintaining seamless post-sales communication with clients, ensuring timely updates, managing documentation follow-ups, and enhancing overall client satisfaction. The position focuses on building long-term relationships by providing proactive support, resolving issues efficiently, and coordinating with internal teams for visa and tour processing updates.

Key Responsibilities

Client Communication & Relationship Management

  • Serve as the primary point of contact for clients after the sales handover.
  • Provide regular updates on visa, tour, or booking status via WhatsApp, email, or CRM system.
  • Ensure professional, clear, and timely communication aligned with company standards.
  • Maintain client satisfaction through proactive problem-solving and follow-ups.

Coordination & Process Management

  • Coordinate between clients and internal departments (Visa, Tours, Finance) for smooth service delivery.
  • Track client progress in 
    Perfex ERP
     or CRM and ensure all records are updated accurately.
  • Ensure timely delivery of documents, invoices, and confirmations.
  • Escalate urgent or high-priority cases to management promptly.

Service Quality & Reporting

  • Monitor client feedback and identify areas for improvement.
  • Prepare daily and weekly reports on communication logs, pending cases, and issue resolutions.
  • Maintain high service quality standards in all interactions.

Customer Support & Retention

  • Handle queries and complaints empathetically and effectively.
  • Build and maintain long-term relationships to encourage repeat business.
  • Contribute to post-service engagement and client retention campaigns.

Skills & Qualifications

  • Bachelor's degree in 
    Business, Communications, Hospitality, or related field
    .
  • 2+ years
     experience in customer service, travel operations, or client management (preferably in tourism or visa services).
  • Excellent written and verbal communication skills (English mandatory; Arabic/Hindi an advantage).
  • Strong organizational, multitasking, and follow-up abilities.
  • Proficiency in 
    CRM tools / Perfex ERP / MS Office
    .
  • Professional attitude with attention to detail and problem-solving mindset.
