Persian Horizon is seeking an experienced
Office Manager / Executive Secretary
to oversee office operations and provide high-level administrative and executive support. This is a senior administrative role requiring a highly organized, proactive professional capable of ensuring smooth daily operations, effective coordination, and accurate follow-up across all administrative, contractual, and operational functions.
This position is
not suitable for entry-level candidates or reception-based roles
.
Key Responsibilities
Office & Administrative Management
- Manage daily office operations and overall administrative coordination
- Maintain office organization, systems, workflows, and administrative controls
- Ensure all tasks, documents, and follow-ups are properly tracked and completed
Contracts & Documentation
- Prepare, type, manage, and follow up on company and employee contracts
- Handle employee contract renewals, amendments, and related documentation
- Maintain structured physical and digital document archiving systems
Financial & Administrative Coordination
- Follow up on cheques, collections, and administrative financial matters
- Coordinate with internal finance teams and external parties as required
Communication & Executive Support
- Manage professional communication with clients, partners, and internal/external stakeholders
- Coordinate executive schedules, meetings, and appointments
- Manage meeting rooms and related logistics
Systems & Reporting
- Maintain accurate administrative records and reports
- Perform data entry, tracking, and record management using
Odoo ERP
Logistics & Operations
- Coordinate drivers, transportation, and office logistics
- Support day-to-day operational requirements of the office
HR & Government Relations
- Handle employee work visas, Labour Cards, and related permits
- Coordinate with PROs and government entities as required
Requirements
- Minimum
3–5 years of relevant work experience in Dubai - Full proficiency in
English
(written and spoken) - Experience in corporate or international business environments
- Strong ability to multitask, work under pressure, and follow up independently
- High level of accuracy, organization, accountability, and discretion
Preferred Qualifications
- Previous experience as an Office Manager or Executive Assistant
- Hands-on experience with employee contracts, visas, and labour-related matters
- Experience using ERP systems (Odoo preferred)
- Direct experience working with senior management or executive leadership
- Knowledge of
Arabic
is a strong advantage
