Job Overview

The Aquatics Operations Coordinator is responsible for organizing, arranging and assigning maintenance technician staff for aquarium maintenance appointments. Additionally, you will be ensuring all invoices are properly posted on time, as well as all receivables are collected. This role requires good organizational skills, a solid knowledge of MS office and ERP. You should also have experience discussing with customers and coordinating teams of employees. A knowledge of both Freshwater & Marine Aquariums is preferable.

Key Responsibilities

  • Handling customer enquiries for aquarium services and advising customers on products & livestock.
  • Placing and booking service orders, and assigning relevant teams to carry out the duty.
  • Preparing customer contracts to secure their long-term business.
  • Organising the rota for maintenance staff, making sure all appointments are visited in their assigned time slots.
  • Achieve Monthly revenue targets by pushing Services and upselling products to customers.
  • Prepare customer invoices for both aquarium services and products, posting on ERP on-time.
  • Maintain consistent collection of receivables, via cash, card or online payment link, ensuring. the finance department is informed of all transactions.
  • Create and receive transfer orders for products from both the warehouse and store teams.
  • Arrange permits for necessary maintenance appointments.
  • Check and maintain staff leave records, and submit to HR department.
  • Ensure technicians are equipped with required consumables prior to visits.

Requirements

  • 3 years working as an office admin or similar role.
  • Some experience of aquariums/ aquarium retail shops is desirable.
  • High School diploma or the equivalent.
  • A bachelors degree is desirable.
  • Experience of using ERP software- Preferred Microsoft Dynamic 365.
  • Experience posting invoices and payment collection.
  • Good computer competency.
  • Good Organization and communication skills.
