The Admin (Arabic Speaker) is responsible for providing administrative and clerical support to ensure smooth office operations. The role requires strong communication skills in both Arabic and English, attention to detail, and the ability to handle confidential information professionally. Key Responsibilities: Administrative Support · Handle day-to-day administrative tasks, including filing, scanning, photocopying, and data entry. · Prepare and translate documents, letters, memos, and reports in Arabic and English. · Maintain and update employee records, office files, and databases. · Assist in drafting official letters in Arabic for government authorities, clients, and internal departments. · Support HR with onboarding, documentation, and coordination activities. Office Coordination · Manage incoming and outgoing correspondence (emails, letters, phone calls). · Coordinate with suppliers, service providers, and maintenance teams as needed. · Monitor office supplies and place orders when required. · Arrange meetings, prepare agendas, and take minutes when necessary. Government & PRO Coordination · Assist in preparing documents for government submissions (e.g., visas, permits, renewals). · Coordinate with PRO for Arabic documentation, submissions, and follow-ups. · Ensure all documents are prepared accurately and completed in Arabic when required. Customer & Employee Support · Handle inquiries from staff and visitors professionally. · Provide translation and communication support for Arabic-speaking employees or clients. · Manage scheduling, appointments, and general office support tasks. Skills & Requirements: · Fluency in Arabic and English (written and spoken). · Proven experience in administrative roles, preferably in UAE/GCC. · Strong knowledge of office procedures, government documentation, and filing systems. · Excellent communication, organizational, and multitasking skills. · Proficiency in MS Office (Word, Excel, PowerPoint, Outlook). · Ability to handle confidential information with discretion. · Strong attention to detail and ability to work under pressure. Qualification: · Diploma or Bachelor's degree in Business Administration or related field (preferred). · Minimum 1–3 years of experience in administrative or secretarial roles.
