Job description and summary

The Office Manager is responsible for overseeing and coordinating all administrative and operational functions of the organization to ensure smooth daily operations. This role involves supervising the Office Coordinator, spearheading human resource operations, and serving as a key liaison between the Managing Partner and various department heads. The Office Manager ensures efficient office systems, fosters a positive workplace environment, and supports employee relations while maintaining compliance with company policies and procedures.

Key responsibilities

Administrative & Office Operations

·Oversee the day-to-day operations of the office to maintain an organized, efficient, and productive work environment.

·Develop and implement office policies, systems, and procedures to enhance workflow and operational efficiency, in close coordination with the Director of Business Operations.

·Provide guidance and supervision to the Office Coordinator, ensuring effective performance and professional development.

·Act as the primary liaison between the Managing Partner and department heads to facilitate effective communication and coordination.

·Oversee DMCC portal activities, including visa applications, trade license and establishment card renewals, and ensure compliance with DMCC regulations.

·Serve as the point of contact with Concordia for building operations and compliance coordination.

·Manage business expense processes through the Zoho Expense portal and manual submissions, ensuring all claims comply with the company's expense policy.

·Coordinate with external suppliers and contractors to ensure timely and efficient repair and maintenance of office facilities.

·Lead the planning and execution of company events in collaboration with the Director of Business Operations, ensuring alignment with company objectives and budget.

·Manage company travel logistics, including flight and hotel bookings, to ensure cost-effective and efficient arrangements.

Human Resources

·Support HR functions including recruitment, onboarding, attendance management and employee offboarding.

·Maintain accurate personnel records and ensure compliance with UAE labor laws and internal HR policies.

·Manage the company's Zoho People HR system, ensuring data integrity and seamless HR operations.

·Assist in designing and implementing employee engagement and professional development initiatives.

·Serve as the main point of contact for all HR-related requests, including the preparation of salary and employment certificates.

·Handle employee relations matters with professionalism, discretion, and tact.

·Support in the company's Bespoke Benefit Scheme initiative with the Training & Development Manager.

·Support the implementation and execution of the company's HR initiatives and programs.

Qualifications & Skills

  • Bachelor's degree
    in Business Administration or a related field.
  • Minimum of 5 years of relevant experience in the UAE
    , preferably in a similar role such as Office Manager, Administrative Manager, or Office Administrator.
  • Strong command of English
    , both written and verbal.
  • Proficient in DMCC Portal
    operations and
    Zoho Systems
    (People and Expense modules).
  • Demonstrates strong
    critical thinking and analytical skills
