We are seeking a detail-oriented and highly organized
Asset Coordinator
to manage and track all physical and digital office assets. This role is critical in ensuring the effective use, allocation, and maintenance of company resources such as IT equipment, office furniture, supplies, and software licenses. The ideal candidate will have strong administrative skills, be comfortable using asset management systems, and demonstrate a proactive approach to supporting office operations.

Key Responsibilities:

  • Maintain an accurate and up-to-date inventory of all office assets (e.g., laptops, monitors, mobile devices, office furniture, software licenses).
  • Coordinate the allocation, movement, and disposal of assets in accordance with company policies.
  • Work with IT, Facilities, and Procurement teams to manage asset lifecycle — from procurement to retirement.
  • Conduct regular audits and reconciliations to ensure data accuracy in the asset tracking system.
  • Tag and label new assets, ensuring all relevant information is logged into asset management software.
  • Monitor stock levels of consumables and office supplies; reorder as needed to avoid shortages.
  • Support onboarding and offboarding processes by assigning and recovering equipment.
  • Prepare reports on asset status, usage trends, and budget implications.
  • Ensure compliance with company policies and relevant regulations regarding asset control and data security.
  • Coordinate with vendors and service providers for asset repairs, warranties, or replacements.
  • Identify opportunities to improve asset tracking and management processes

Requirements:

  • Proven experience in asset coordination, inventory control, office administration, or related role.
  • Strong proficiency with asset management or inventory software (e.g., Asset Panda, Freshservice, or Excel).
  • Excellent organizational skills and attention to detail.
  • Strong communication and interpersonal skills.
  • Ability to work independently and prioritize multiple tasks.
  • Familiarity with office equipment and IT hardware is a plus.
  • High school diploma or equivalent required; associate or bachelor's degree preferred.
