Job Summary:

We are seeking a proactive and organized Admin + Receptionist with real estate experience to join our team. The ideal candidate will be responsible for handling daily administrative tasks and providing exceptional front-desk service. They will support the real estate team by managing office operations, assisting with property documentation, and maintaining a professional environment for both clients and staff.

Key Responsibilities:

Reception Duties:

  • Greet clients and visitors in a friendly and professional manner.
  • Answer and direct incoming calls, emails, and inquiries related to real estate properties and services.
  • Manage meeting room schedules and client appointments.

Administrative Support:

  • Assist the real estate team with day-to-day administrative tasks such as preparing documents, filing, and data entry.
  • Process real estate contracts, forms, and agreements with accuracy.
  • Ensure that property listings and related paperwork are updated and organized.

Customer Service:

  • Provide general information about available properties and real estate services to potential clients.
  • Assist clients with queries and offer administrative support throughout the property transaction process.
  • Maintain positive relationships with clients and handle their requests promptly.

Office Management:

  • Manage office supplies and ensure that all office equipment is functioning properly.
  • Coordinate with maintenance and IT support when necessary.
  • Organize and maintain office files, ensuring they are accessible and up to date.

Coordination with Agents:

  • Assist real estate agents by coordinating property viewings, client meetings, and supporting with follow-ups.
  • Support agents with marketing activities like preparing brochures, posting on property portals, and managing online listings.

Data Management:

  • Maintain and update the company CRM with accurate client information and property details.
  • Assist in preparing reports and presentations for management and agents.

Requirements:

Experience:

  • Minimum 1-2 years of experience as an admin or receptionist, preferably in the real estate sector.

Skills:

  • Excellent communication and customer service skills.
  • Proficient in MS Office (Word, Excel, PowerPoint) and CRM systems.
  • Strong organizational skills with attention to detail.
  • Ability to multitask and prioritize tasks in a fast-paced environment.

Knowledge:

  • Understanding of real estate processes, documentation, and terminology.
  • Familiarity with property listing platforms and marketing support is a plus.

Language:

  • Fluent in English (Arabic or additional languages is a plus).
