Paper Trade Support Officer

Regular Tasks:

• Reconciling daily/monthly Energy derivatives with commodity Exchanges and FCMs
• Validating Paper Trades against bilaterally agreed confirmation/contracts
• Reporting and monitoring collaterals and margin interests based on daily M2M Reports
• Validating and Confirming transactions with trading counterparties via contracts and ECM (Electronic confirmation management)
• Controlling full life cycle of trades from unrealized to realized stages
• Understanding and valuating transactions based on historical and forward prices including stressing paper positions for financial forecasts and input to deal assessment processes.
• Validating, preparing and processing of derivative, physical, brokerage and other ancillary invoices
• Managing energy publication calendar, exchange contracts and other static data in the ETRM
• Alerting Trading desks of the approaching Last Trading Dates (LTDs)
• Reconciling all the costs for the derivative trades
• Publishing multiple control reports across the company
• Sending Position and PNL for Paper desks
• Handling and troubleshooting automatic trade booking tool
• Monitoring Margin analytics tool
• Uploading Options Greeks and handling Option expiry (ITM-ATM-OTM) along with reconciling premium
• Handling premature derivative expiry
• Reconciling monthly interest from clearing banks
• Controlling Trade Entry in the ETRM
• Validating clearing Banks' margin calls and transmitting cash instructions to the treasury team
• Mapping and permissioning new derivative contracts
• Implementing, monitoring and controlling Deal Entry policy on paper and physical trades
• Confirming portfolio and collateral balances with counterparts
• Handling daily trade related correspondence with the clearing banks and other key stakeholders
• Handling physical delivery via clearing Banks

• Addressing Automatic control Alerts reports

• Communication & Team Working

• Working for company goals in a multi-cultural team with the effort to creating friendly and rejoiceful working environment
• Working with positive attitude and communicating openly/honestly with the team and the supervisor/manager
• Respecting team members and resolving any conflicts constructively
• Reviewing deals from a compliance and control point of view and escalation for corrective actions (e.g. errors and/or breaches by traders)
• Engaging with other offices globally to share best practice with a goal of standardization across regions.
• Liaising with colleagues in the wider business to ensure cash settlement occurs and following up late payments with counterparties where necessary
• Providing cover for the Back-Office team when colleagues are out of the office (e.g. holiday/sick leave cover)
• Handling special requests from Front/Middle offices and from other departments

• Assisting Manager and Supervisor in running regular controls on Back Office daily duties

• System Process Improvements

• Developing and maintaining clear and logical administrative processes with efficient audit trails. Assisting with audit queries as and when they arise. Striving to develop the Back Office as an area of "Best Practice"
• Assisting in onboarding new FCMs and Exchanges
• Providing knowledge and support during Trade System improvement projects
• Proposing and participating in improving processes and tools (e.g. automating manual tasks, updating and improving existing tools etc.)
• Working on new projects actively
• Handling any other task mutually agreed

Required skills:

• Theoretical and practical knowledge of Energy Financial Derivatives and Oil/Gas commodities
• Working comfortably in a multi-cultural team/environment
• Good knowledge of Energy physical deals
• knowledge of Derivative positions & pnl
• Excellent ability to track full flow of clearing process
• Ability to calculate and validate margin calls / Interests for OTC and Cleared trades
• Complete Understanding of invoicing paper and physical deals
• Ability to formulate Commodity Contracts in accordance with regulations
• Able to handle external software linked with the ETRM
• Rigorous execution and implementation of company policies
• Excellent and efficient communication with all internal and external stakeholders
• Ability to work to tight deadlines and under pressure
• Numerical, with high attention to detail
• Special interest in using IT

Qualifications & Competencies required

• At least 3-5 year experience in a Back-Office role within oil and gas industry or any other related area
• Experience in using an ETRM (Trading) system for the energy industry. TPT related expertise is desired
• Strong knowledge of MS Office.
• A track record of using of IT to automate tasks and processes, specifically experience in developing and improving Back Office processes
• Degree level or an equivalent professional qualification is highly desirable
• Excellent oral and written communication skills in English are essential
