Document Controller | Ras Al Khaimah

We are supporting a reputable consultancy delivering a major project in Ras Al Khaimah and are now seeking an experienced
Document Controller
to join the site-based team.

This is a key administrative and coordination role, responsible for ensuring all project documentation is organised, tracked, and managed efficiently throughout the full lifecycle of the project.

What We're Looking For:

  • 5+ years of Document Control experience
    within the construction industry (UAE experience essential)
  • Diploma or Bachelor's degree in
    Business Administration
    or a related field
  • Strong understanding of documentation processes across multidisciplinary construction projects
  • Experience using platforms such as
    Aconex
    (knowledge of other DMS tools like Unifier is an advantage)
  • Excellent organisational skills, attention to detail, and the ability to work under pressure
  • Strong communication skills and the ability to coordinate effectively with site teams, consultants, and clients

Key Responsibilities:

  • Manage, log, and maintain all incoming and outgoing project documents, drawings, correspondence, and submittals
  • Maintain up-to-date project registers, logs, and filing systems in line with project requirements
  • Prepare, distribute, and file letters, memos, reports, meeting minutes, and project documentation
  • Follow up with site teams on outstanding correspondence and submittals, issuing reminders when required
  • Support the preparation of project reports by gathering information from site supervision staff
  • Maintain both electronic and physical filing systems, ensuring accurate retrieval and traceability
  • Ensure "Record Copy" and "Coordination Copy" sets are kept updated and properly stamped
  • Assist with project quality documentation and support the team with implementation of quality processes
  • Support the site team with administrative tasks, coordination, and compliance during audits
  • Assist with project close-out, including archiving and e-archiving of all documentation
  • Coordinate with client representatives regarding updated staff information, contact details, and documentation deliveries
