Admin Assistant/Receptionist

Key Responsibilities:
- Client Communication: Handle all client correspondence (in-person, phone calls, and emails) and direct inquiries to the appropriate Accounting or Tax personnel.
- Scheduling and Coordination: Manage and coordinate the calendars and appointments for the senior staff and client meetings.
- Documentation Management: Set up new client files, and ensure the accurate and confidential archiving of all contracts and documents (both digital and hard copy).
- Administrative Support: Oversee general office logistics, including managing office supplies, handling incoming/outgoing mail, and coordinating maintenance.
- Basic Billing Assistance: Assist the management team with generating basic monthly service invoices and following up on initial payment inquiries.
- Maintaining Confidentiality: Handling sensitive and confidential information related to accounting operations and clients with utmost discretion.
- General Administrative Support: Providing daily administrative support to the office manager, such as preparing purchase requests, and compiling periodic reports or presentations.
- Maintain and organize office files, records, and documentation.
- Support HR and finance teams with basic administrative tasks as required.
- Assist in data entry and document preparation when needed.
Requirements and Skills:
- Bachelor's degree or diploma in business administration or a related field.
- Proven experience in an administrative or office support role.
- Proficiency in MS Office applications (Word, Excel, Outlook).
- Strong organizational, time management, and communication skills.
- Ability to multitask and work independently with attention to detail.
