Position Overview:

The Receptionist will serve as the primary point of contact for visitors, clients, and business partners of the real estate development company. The role requires a professional, well-spoken, and service-oriented individual capable of representing the company's image at all times. The incumbent will manage front desk operations, provide administrative support, coordinate meeting logistics, and ensure an efficient and welcoming environment for all internal and external stakeholders.

Key Responsibilities:

Front Desk & Visitor Management

  • Greet visitors, clients, government representatives, and contractors in a professional and courteous manner.
  • Maintain a clean, organized, and presentable reception area aligned with corporate standards.
  • Manage visitor logs, issue visitor passes, and coordinate access with security and internal departments.
  • Handle incoming calls, screen and redirect them appropriately, and take accurate messages when required.

Administrative Support

  • Prepare, maintain, and update documents related to front desk operations, including visitor records, correspondence logs, and meeting schedules.
  • Assist with scanning, photocopying, filing, and basic data entry tasks.
  • Support HR and Administration in coordinating staff attendance data, courier arrangements, and distribution of circulars or internal memos.
  • Manage incoming and outgoing mail, courier deliveries, and documents requiring signature.

Meeting & Office Coordination

  • Schedule and coordinate meeting rooms, ensure their readiness, and arrange refreshments when required.
  • Ensure office supplies for the reception area and meeting rooms are adequately stocked.
  • Liaise with facility management for maintenance requests related to reception, common areas, or meeting rooms.

Customer Relations (Real Estate Specific)

  • Provide general information to walk-in clients regarding property locations, contact points, or responsible departments.
  • Direct potential buyers or tenants to the Sales, Leasing, or Customer Service departments as appropriate.
  • Support basic documentation processes such as receiving reservation forms, forwarding client documents, or registering complaints/queries.

Compliance & Corporate Standards

  • Adhere to company policies, protocols, and confidentiality standards.
  • Ensure all interactions reflect the brand image and professionalism of the real estate developer.
  • Follow Sharjah and U.A.E. regulations related to visitors, health & safety, and administrative practices.

Qualifications & Experience Required:

  • High school diploma or equivalent; diploma or certificate in office administration is an advantage.
  • Minimum 2–4 years of experience in a receptionist or customer service role; experience in real estate or construction industries preferred.
  • Excellent Command of Arabic & English Languages
  • Proficient in MS Office applications (Word, Excel, Outlook).
  • Presentable appearance with a professional demeanor.
  • Ability to manage multiple tasks simultaneously and work under pressure.
  • Polite, approachable, and customer-focused personality.
