Job Title: Secretary Department: Administration / Office Support Reports To CEO, Managing Director & Engineers,
Job Summary:
The Secretary provides administrative and clerical support to ensure the smooth operation of the general contracting and real estate office. The role involves handling communication, preparing documents, assisting with project coordination, and maintaining organized records for office and site operations.
Key Responsibilities:
- Handle all incoming and outgoing communications such as phone calls, emails, and correspondence.
- Prepare and format letters, memos, quotations, invoices, and other company documents.
- Maintain organized filing systems for contracts, project documents, and employee records (both hard and soft copies).
- Schedule and coordinate meetings, appointments, and site visits for engineers and management.
- Prepare and monitor daily and monthly timesheets for laborers and site staff.
- Communicate regularly with engineers for site project updates, work progress, and manpower status.
- Assist in the preparation of project reports, submittals, and related documentation.
- Record and distribute meeting minutes to concerned departments.
- Maintain and update company records, employee attendance, and petty cash reports.
- Coordinate with suppliers, subcontractors, and clients for administrative requirements.
- Ensure timely renewal of company documents such as trade licenses, insurances, and employee visas.
- Support HR and Accounting departments with clerical tasks such as document scanning, filing, and data entry.
- Monitor and maintain office supplies and ensure proper documentation of office purchases.
- Handle confidential and sensitive information with professionalism and discretion.
- Perform other administrative tasks as required by management.
Job Type: Full-time
Pay: AED3, AED3,500.00 per month
