We are seeking a proactive and organized individual to provide comprehensive administrative support. The ideal candidate will ensure smooth office functioning, maintain a safe and efficient work environment and support management and staff with a wide range of administrative tasks.
Administrative Support:
- Office Management: Oversee daily office operations, including managing office supplies, equipment, and vendor relationships.
- Scheduling: Coordinate and schedule meetings, appointments, and events. Manage calendars and handle travel arrangements as needed.
- Documentation: Prepare and manage correspondence, reports, and presentations. Maintain filing systems and ensure accurate record-keeping.
- Communication: Serve as the primary point of contact for internal and external communications. Address and resolve inquiries or issues in a timely manner.
- Support: Provide administrative support to executives and team members, including preparing agendas, minutes, and reports.
Facility Management:
- Maintenance Coordination: Schedule and oversee routine maintenance and repair work for office facilities. Liaise with contractors, service providers, and maintenance personnel.
- Safety and Compliance: Ensure compliance with health, safety, and environmental regulations. Conduct regular inspections to identify and address potential safety hazards.
- Facility Operations: Manage building systems, including HVAC, lighting, and security. Monitor and control utilities to optimize efficiency and reduce costs.
- Space Management: Assist in space planning and management, including office layout, seating arrangements, and space utilization.
- Inventory Management: Maintain inventory of facility supplies and equipment. Order and restock as necessary, ensuring cost-effective purchasing.
- Preparing the quotations and daily, weekly and monthly reports.
- Any other admin work assigned as per business requirements.
Skills and Qualifications:
- Education: High school diploma or equivalent; Associate's degree or higher in Business Administration, Facility Management, or a related field is preferred.
- Experience: Previous experience in administrative roles with a background in facility management or maintenance. Proven track record in office administration and facility operations.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with facility management software.
- Organizational Skills: Strong organizational and multitasking abilities. Ability to manage priorities and meet deadlines in a fast-paced environment.
- Communication Skills: Excellent written and verbal communication skills. Ability to interact effectively with diverse groups and resolve issues diplomatically.
- Problem-Solving: Strong problem-solving skills and the ability to handle facility-related challenges efficiently.
- Attention to Detail: High attention to detail and accuracy in managing administrative tasks and facility operations.
- Should be available in UAE for immediate interview and joining.
