- Collect daily site documents including delivery notes, inspection reports, permits, and timesheets.
- Maintain organized records of all administrative site documentation (physical and digital).
**Time Sheet & Attendance Management**:
- Track and record daily attendance of site staff and laborers.
- Prepare and submit accurate time sheets to the HR/Admin department on time.
**Labor Data Management**:
- Update records of new labor joinings with all necessary information including ID copies, joining date, contact details, etc.
- Maintain labor deployment lists and assign them to relevant site supervisors when required.
**Visa & Legal Documentation Tracking**:
- Monitor and update labor visa status including Tawjeeh, Medical Tests, and Biometrics.
- Coordinate with the PRO/Admin department for follow-ups on expiring or pending documentation.
- Maintain a checklist and tracker for each worker’s legal and compliance status.
**Coordination & Communication**:
- Communicate with site supervisors, HR, and Admin teams for document verification and clarification.
- Assist in scheduling and logging appointments related to visa processes (Tawjeeh sessions, medicals, etc.).
**General Administrative Duties**:
- Maintain stationary stock and ensure smooth day-to-day operation of the site office.
**Qualifications & Skills**:
- High school diploma or equivalent; diploma in business administration or office management is an advantage.
- 1-3 years of clerical or administrative experience in the construction industry preferred.
- Proficiency in Microsoft Office (Excel, Word, Outlook).
- Basic knowledge of labor visa processes including Tawjeeh, medical, and biometrics is highly preferred.
- Excellent organizational, time management, and record-keeping skills.
- Strong attention to detail and accuracy.
