**Job Title: Administrative Assistant (Female)**
**Job Summary**:
As an Administrative Assistant, you will play a crucial role in supporting the efficient operation of the company. You will be responsible for various administrative tasks, assisting with office management, and providing support to the team members. Your attention to detail, organizational skills, and proactive attitude will contribute to the smooth functioning of daily operations.
**Key Responsibilities**:
**Office Management**:
Greet and welcome visitors and clients with a positive and professional demeanor.
Maintain a clean, organized, and presentable office environment.
Manage office supplies, restocking as needed, and keeping track of inventory.
**Communication and Correspondence**:
Answer and direct phone calls to the appropriate personnel.
Draft, format, and proofread documents, memos, reports, and presentations.
**Calendar Management**:
Assist in scheduling appointments, meetings, and conferences.
Maintain and update calendars for team members.
Send reminders and follow-up communications as required.
**Data Entry and Record Keeping**:
Enter and update data into company databases and systems accurately.
Maintain and organize electronic and physical records.
**Administrative Support**:
Assist in preparing and organizing meetings, including setting up conference rooms and audiovisual equipment.
Take meeting minutes and distribute them to attendees.
Support travel arrangements for team members as needed.
**Document Management**:
File and retrieve documents, records, and reports as required.
Ensure proper documentation and filing procedures are followed.
**Support to Management**:
Provide administrative support to managers and executives as requested.
Assist in preparing reports, presentations, and documents for management.
**Miscellaneous Tasks**:
Handle ad hoc tasks and projects as assigned by supervisors.
Collaborate with other team members to ensure seamless office operations.
**Qualifications and Requirements**:
- High school diploma or equivalent; further education in administration or related field is a plus.
- Proven experience as an administrative assistant or in a similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong communication skills, both written and verbal.
- Excellent organizational and time management skills.
- Attention to detail and accuracy in work.
- Ability to multitask and prioritize tasks effectively.
- Professional and friendly demeanor.
- Basic knowledge of office equipment and systems.
- Ability to work independently and as part of a team.
**Language : English and Hindi**
**Salary**: AED2,000.00 - AED3,000.00 per month
Ability to commute/relocate:
- Al Qusais: Reliably commute or planning to relocate before starting work (required)
**Experience**:
- administrative assistant: 1 year (preferred)
