**Job Summary**:
The Sales and Inventory Coordinator is responsible for managing the flow of fragrance products between sales, inventory, and distribution. This role ensures that stock levels are maintained efficiently to meet customer demand and sales targets. The coordinator will collaborate with the sales team, suppliers, and distribution partners to ensure smooth business operations.

**Key Responsibilities**:

- Monitor and manage stock levels, ensuring accurate data entry in the inventory management system.
- Perform regular stock counts and reconcile physical inventory with system data.
- Coordinate with the purchasing department to place orders for replenishment when stock reaches reorder points.
- Track incoming shipments, ensuring timely receipt and accurate quantities of fragrance products.
- Handle product transfers between locations (warehouses, stores, etc.).

**Sales Coordination**:

- Work closely with the sales team to ensure product availability aligns with current sales activities and promotions.
- Assist in the preparation of sales forecasts based on historical data and market trends.
- Provide sales reports and updates to management on stock levels, best-sellers, and underperforming products.
- Collaborate with retail teams to ensure smooth stock flow for new launches, marketing campaigns, and events.

**Order Processing**:

- Process customer orders, ensuring accurate input of product codes, quantities, and delivery schedules.
- Liaise with warehouse teams to track order fulfillment, ensuring timely delivery to clients.
- Resolve any discrepancies related to customer orders, stock availability, or shipping delays.

**Supplier and Vendor Coordination**:

- Communicate with fragrance suppliers and vendors regarding stock orders, product availability, and shipping schedules.
- Maintain strong relationships with vendors to negotiate favorable terms and ensure timely deliveries.
- Address any issues related to product quality, damaged goods, or discrepancies in received orders.

**Reporting and Analysis**:

- Prepare weekly and monthly sales and inventory reports for management.
- Analyze sales trends and inventory turnover to provide insights into product performance.
- Recommend strategies for improving stock management and maximizing sales opportunities.

**Compliance and Documentation**:

- Ensure all inventory movements are recorded accurately and comply with company procedures.
- Maintain updated documentation for inventory transactions, including purchase orders, receipts, transfers, and adjustments.
- Assist in maintaining records for product certifications, safety standards, and expiration dates (if applicable).

**Qualifications**:

- **Education**: Bachelor's degree in Business Administration, Supply Chain, or a related field preferred.
- **Experience**:

- 2-3 years of experience in sales coordination, inventory management, or logistics, preferably in the fragrance or cosmetics industry.
- Familiarity with fragrance products and sales cycles is an advantage.

**Skills**:

- Strong organizational skills and attention to detail.
- Proficiency in inventory management software (e.g., ERP systems) and Microsoft Excel.
- Excellent communication and interpersonal skills for liaising with multiple departments.
- Ability to work under pressure and meet deadlines in a fast-paced environment.
