As we embark on a journey of restructuring and expansion, we are seeking dynamic and accountable Event Coordinators/Executives to join our team in Dubai and India.
**Job Description**:
As an Event Coordinator/Executive at Fete Events, you will play a pivotal role in the planning and execution of our luxurious events. You will be responsible for managing various aspects of event coordination, from initial desk planning to on-site execution. Your attention to detail, organizational skills, and passion for delivering unforgettable experiences will contribute to the success of our high-profile events.
**Responsibilities**:
1. Pre-Event Planning:
- Collaborate with clients to understand their vision, requirements, and objectives for the event.
- Develop comprehensive event proposals, timelines, and budgets.
- Source and negotiate with vendors, suppliers, and venues to secure the best resources.
- Assist in designing and creating event concepts, themes, and layouts.
- Coordinate logístical arrangements such as transportation, accommodations, and permits.
2. On-Site Execution:
- Oversee the setup, decoration, and arrangement of event venues.
- Manage event staff and ensure everyone understands their roles and responsibilities.
- Solve any unexpected issues or challenges that may arise during the event.
- Coordinate entertainment, catering, and other services to ensure a seamless experience.
- Maintain a strong presence during the event to ensure everything runs according to plan.
3. Post-Event Evaluation:
- Gather feedback from clients and guests to assess the event's success and identify areas for improvement.
- Prepare post-event reports, including budget reconciliation and performance metrics.
- Conduct a thorough debrief with the team to share insights and lessons learned.
4. Administrative Duties:
- Maintain accurate records of all event-related information, contracts, and communications.
- Manage event budgets, track expenses, and ensure adherence to financial guidelines.
- Assist in developing marketing materials and promoting upcoming events.
- Coordinate with other team members and departments to ensure a cohesive workflow.
Qualifications:
- Bachelor's degree in Event Management, Hospitality, Business, or a related field (MBA preferred).
- Minimum of 3 years of experience in event planning and execution, preferably in luxury events.
- Strong organizational and project management skills with the ability to multitask effectively.
- Excellent communication and interpersonal skills to build relationships with clients, vendors, and team members.
- Creativity and an eye for design to contribute to the development of unique event concepts.
- Proficiency in event planning software and tools.
- Willingness to work flexible hours, including weekends and evenings, as required for event execution.
- Ability to travel to event locations in U.A.E
