Office Assistant - Engineering Consultancy

**Job Summary**:
**Key Responsibilities**:
- Perform secretarial and administrative duties including answering calls, drafting correspondence, managing schedules, and handling office communications.
- Prepare, organize, and maintain all project-related documents, contracts, submittals, and correspondence in both digital and hard copy formats.
- Maintain updated knowledge of municipality requirements, procedures, and online portals (Ajman Municipality, Sharjah, UAQ, RAK, Fujairah, etc.).
- Support engineers and management in preparing tender documents, BOQs, invoices, and other project deliverables.
- Track document submittals and approvals, maintain proper logs, and ensure timely follow-up with authorities.
- Handle filing systems, record keeping, and ensure confidentiality of sensitive documents.
- Coordinate meetings, prepare meeting minutes, and assist in project reporting.
- Liaise with clients, contractors, and consultants for administrative matters.
- Monitor office supplies and handle general office organization.
- Support HR and finance with administrative documentation as required.
**Qualifications & Requirements**:
- Diploma or Bachelor’s degree in Business Administration, Office Management, or a related field (preferred).
- Minimum **2-3 years of experience in an engineering consultancy office** in Ajman or Northern Emirates.
- Strong knowledge of municipality procedures and e-services in Ajman and other Emirates.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and document management systems.
- Strong communication skills in English (Arabic is an advantage).
- Detail-oriented, organized, and capable of handling multiple tasks simultaneously.
- Knowledge of engineering consultancy workflows, tendering, and submission processes is highly desirable.

- Familiarity with ISO standards for documentation and filing is a plus.
Pay: AED2,650.00 per month
