Your primary responsibility will be to create a positive and professional impression while efficiently managing incoming calls, greeting visitors, and performing various administrative tasks. You will play a crucial role in ensuring our office runs smoothly and efficiently.

Key Responsibilities:
Greet and Welcome: Warmly welcome clients, visitors, and employees as they enter the office, providing a positive and professional first impression.

Answer Inquiries: Answer and route incoming phone calls, addressing inquiries, and directing calls to the appropriate staff members or departments.

Visitor Registration: Maintain a visitor log, issue visitor badges, and ensure that all guests sign in and out in compliance with security protocols.

Manage Reception Area: Keep the reception area clean, organized, and well-stocked with brochures and informational materials.

Appointment Scheduling: Schedule and manage appointments for clients and employees as needed, utilizing scheduling software.

Mail and Package Handling: Sort and distribute incoming mail and packages, as well as prepare outgoing mail and packages for courier pickup.

Administrative Support: Provide administrative support to various departments, including data entry, filing, and photocopying.

Problem Solving: Assist in resolving customer and visitor concerns, escalating issues when necessary.

Communication: Relay important information and messages to employees promptly and accurately.

Qualifications:
High school diploma or equivalent; some college or relevant coursework preferred.

Proven experience as a receptionist, front office representative, or similar role is a plus.

Proficient in Microsoft Office Suite (Word, Excel, Outlook).

Strong verbal and written communication skills.

Exceptional interpersonal and customer service skills.
