- Reception is one of the first points of contact for hotel guests and plays a direct role in creating a smooth arrival, stay, and departure experience. The position supports check-in, check-out, guest information updates, room key control, guest communication, complaint follow-up, safe deposit handling, night audit assistance, and coordination with internal hotel departments. By keeping the front desk organized, accurate, and welcoming, the role helps protect guest satisfaction, operational flow, and the hotel's professional image.
Key Responsibilities
Register and process check-in for all guest arrivals with accuracy, courtesy, and efficiency.
Handle guest check-outs professionally, including settlement, billing support, and departure assistance.
Update guest information in the hotel system after completing the check-in process.
Perform cashiering duties, foreign exchange transactions, night audit support tasks, and guest departure settlements.
Handle walk-in counter reservations and process call-in reservations when the room reservations section is closed.
Provide friendly and courteous service to guests and respond promptly to requests, enquiries, and concerns.
Resolve guest complaints and service requests by coordinating with the relevant department for immediate follow-up.
Issue guest room key cards carefully and maintain proper control procedures to support guest security.
Check, record, and convey guest messages, mail, and packages at the information counter, foreign exchange desk, night audit area, and business centre when assigned.
Maintain knowledge of hotel rate codes, packages, market segmentation, discounts, and correct handling procedures.
Handle safe deposit boxes according to hotel policies, security standards, and department procedures.
Report unusual occurrences, incidents, special requests, or operational concerns to the manager.
Follow hotel accident prevention policies and remain aware of fire and first aid procedures.
Keep the front office area clean, neat, organized, and professionally presented at all times.
Greet all guests warmly on arrival and departure, creating a positive first and last impression.
Review the logbook, verify outstanding matters, follow up on pending items, and identify special assignments for the day.
Check the hotel situation, occupancy, functions, groups, VIPs, and daily operational priorities.
