Roles and responsibilities

The stock controller will beresponsible for managing the purchasing and replenishment of theretail products. The role holder is also responsible formaintaining the stock levels within the budget set by thebusiness.

Responsibilities:

  • Ensures that all inventory and stockmanagement systems are maintained and updated accurately, andwithin the agreed parameters
  • Receives deliveredsupplies, materials, and equipment; confirms that delivered goodsmatch purchase order specifications of quantity, condition, modelnumber, etc.; completes all necessary paperwork for stock itemsreceived
  • Manages all stock movements in andout, and maintain complete log of all stock movement to ensurestocks are tallied with the transferdocuments
  • Maintains stock levels within theagreed inventory parameters; scans stock received and delivered andhighlight any discrepancy, to ensure stock movement is logged andproperly controlled.
  • Maintains the storeroomand the allocation of space for stock; ensures the storeroom meetsdefined regulations
  • Supervises theimplementation of health and safetyprocedures
  • Coordinates with Store operationsstaffs to identify and prepare damaged stock list to ensure thesaid stock is scanned, packed and sent to the warehouse afterobtaining required approvals
  • Executes weeklycycle counts of inventory materials based upon system reports;assists in conducting complete physical inventory countannually

PeopleManagement:

  • Defines goals and key performanceindicators for each member of the team and ensures effectiveimplementation of the GMG's performance managementprocess
  • Develops talent within the team byproviding guidance and coaching to achieve the definedgoals

  • StockMonitoring : Regularly track stock levels to ensurethat items are available when needed and avoid stockouts oroverstocking.
  • InventoryForecasting : Predict future stock needs based onsales trends, seasonal fluctuations, and order history to maintainoptimal stock levels.
  • StockReplenishment : Initiate purchase orders or requeststock replenishments when levels fall below the requiredthreshold.

2. StockOrganization andStorage

  • EfficientStorage : Ensure that stock is stored in an organizedmanner, making it easy to locate and retrieve items quickly whenneeded.
  • StockRotation : Implement practices such as FIFO (FirstIn, First Out) to ensure older stock is used first and to preventproducts from becomingobsolete.
  • WarehouseLayout : Help in organizing the layout of thewarehouse or storage areas for maximum efficiency and easy accessto high-demand items.

3.Stock Audits andStocktaking

  • InventoryAudits : Conduct regular physical stock counts andaudits to reconcile actual stock levels with recorded amounts inthe inventory system.
  • StockDiscrepancies : Investigate and resolve anydiscrepancies between physical stock and inventory records, such aslosses or errors in stockentry.
  • Reporting :Prepare inventory reports and analyses to assist management indecision-making related to stock levels, supply chain issues, orproduct turnover.

4.Supplier and OrderManagement

  • VendorCommunication : Communicate with suppliers andvendors to ensure timely deliveries of stock and resolve any issuesrelated to shortages, delays, or damagedgoods.
  • OrderManagement : Oversee the processing of orders, trackdeliveries, and coordinate the receipt and storage of incomingproducts.
  • Returns andExchanges : Manage returns or exchanges of stock,ensuring that faulty or unsellable products are processedappropriately.

5. StockControl Systems andTechnology

  • InventorySoftware : Utilize inventory management software totrack and update stock levels, generate reports, and assist inorder planning.
  • BarcodeSystems : Implement or manage barcode scanningsystems for efficient stock tracking and reduced errors in stockmanagement.
  • TechnologyUtilization : Stay updated on technologicaladvancements related to stock management, including automatedsystems and RFID technology.

6.Maintaining Health, Safety, andCompliance

  • SafetyStandards : Ensure that stock is stored in accordancewith health and safety regulations, including proper labeling,handling, and storage practices for hazardous or perishableitems.
  • RegulatoryCompliance : Ensure compliance with industrystandards and government regulations regarding inventorymanagement, particularly in sectors with strict regulatoryrequirements (e.g., pharmaceuticals, food,etc.).
