Job Summary

As a key member of our team, the Document Management Specialist will be responsible for overseeing various functions related to document control, archiving, imaging, and maintenance of document registers for projects. This role requires attention to detail, organizational skills, and excellent analytical abilities.

Key Responsibilities
  1. Register client-provided documents for projects, including in-house generated materials.
  2. Issue document numbers and maintain proper document registers for each project.
  3. Maintain assigned project databases.
  4. Ensure accurate document classification, sorting, filing, and archiving.
  5. Review documentation completeness and prepare transmittals.
  6. Perform quality checks on documents according to company procedures.
  7. Perform file backups to ensure proper storage and archiving of electronic records.
  8. Prepare reports and minutes as required.
  9. Report HSE hazards, incidents, and concerns.
Technical Competencies
  1. Diploma or equivalent qualification.
  2. Familiarity with software such as Aconex or Prolog is an added advantage.
Behavioural Competencies
  1. Excellent analytical and problem-solving skills.
  2. Strong communication and interpersonal skills.
  3. Ability to work independently with minimal supervision.
