Job Summary:

We are seeking an experienced Event Planning Specialist to assist in the coordination of corporate meetings, conferences, weddings, social gatherings, and other special events. The ideal candidate will have strong organizational skills, excellent communication abilities, and a passion for delivering exceptional events.

Key Responsibilities:
  • Event Planning and Coordination: Assist in the planning and coordination of all aspects of events from initial conception to execution, including venue selection, logistics, catering, audio/visual setup, and decor.
  • Client Liaison: Serve as the main point of contact for clients, understanding their needs and ensuring their vision is realized. Provide regular updates and communication throughout the planning process.
  • Vendor Management: Coordinate with vendors and suppliers, including negotiating contracts, scheduling, and ensuring the timely delivery of services.
  • Budget Management: Assist in the preparation and management of event budgets. Track expenses and ensure events are delivered within financial constraints.
  • Onsite Event Management: Oversee event setup, execution, and teardown. Ensure all details are in place, troubleshoot any issues that arise, and ensure a smooth, successful event experience for all attendees.
  • Marketing and Promotion: Collaborate with the marketing team to develop promotional strategies for events, including social media, email campaigns, and other marketing efforts.
  • Post-Event Activities: Conduct post-event evaluations to gather feedback from clients, attendees, and vendors. Prepare reports on event outcomes, including financial reconciliation and client satisfaction.
