Job Title: Supply Chain Administrator

Talent Pal is seeking a highly skilled Supply Chain Administrator to join our team. As a key member of our operations team, you will be responsible for ensuring the smooth flow of goods and services within our organization.

Key Responsibilities:
  • Procurement and Logistics Support: Assist the Procurement and Logistics team in sorting, dispatching, filing, and processing invoices and other documents.
  • Purchase Order Management: Create purchase orders in our ERP system for processing invoices.
  • Document Management: Prepare and manage SCM documents in a timely, accurate, and efficient manner.
  • Document Control: Control the numbering, sorting, filing, storing, and retrieval of both electronic and hard copy documents produced for the SCM team.
  • Filing and Archiving: File and archive relevant documentation.
  • Document Templates: Create templates for documents, file types, and document databases.
  • Document Accuracy: Check and edit documents for accuracy and compliance.
  • Document Flow: Control the flow of documents in and out of the department.
  • Goods Received Notes: Generate Goods Received Notes (GRN).
  • Process Improvement: Analyze data for process improvement and collaborate with suppliers and internal teams.
  • Supply Chain Support: Support the smooth-running of the supply chain department through administrative duties.
  • File Tracking: Accurately record and track file movements within the organization.
  • Document Setup: Set up, copy, scan, and store documents.
  • Documentation Requests: Manage requests for documentation.
  • Record Accuracy: Review and maintain the accuracy of records, editing where necessary to ensure they are up to date.
  • Confidentiality: Maintain confidentiality around sensitive documentation.
  • Reporting and Presentations: Generate reports and prepare presentations.
  • Negotiation and Interpersonal Skills: Possess negotiation and interpersonal skills.
  • Feasibility Studies: Prepare, analyze, and understand feasibility study and market study updates.
  • Communication: Possess very good command in English communication, both written and verbal.
  • Vendor Management: Secure additional information on departmental/office needs and may prepare recommendations on vending sources.
  • Supplier Qualification: Search and qualify new suppliers based on the project's needs.
  • Procurement Planning: Examine and analyze departmental/project purchasing needs to set an effective procurement plan.
  • Purchasing Policy: Routinely interpret GRADE purchasing policy, process, and procedures to provide recommendations about areas of consideration to the Procurement/Logistics Manager.
  • Purchase Tracking: Help manage and track all GRADE purchases with vendors and requestors, including contract duration and expiration.
  • Vendor Identification: Seek new vendors who may qualify to do business with GRADE and identify vendors for purchasing.
  • Vendor Database: Ensure updated vendor database and items master list.
  • Supply Chain Support: Support Supply Chain Officers whenever necessary.
  • Project and General Materials Tracking: Track Project, General Materials orders and delivery times.
Requirements:
  • Education: Bachelor's Degree in Engineering, Business Administration, Finance, or relevant certificate.
  • Experience: 3 years of experience as an administrator/document controller with basic knowledge in procurement and logistics.
  • Skills: Proficient in MS Office Excel and Word, knowledge in ERP system/MS D365.
