Job Summary

We are seeking a highly organized and detail-oriented Materials Coordinator to join our team at Precision Hire Solution. As a key member of our Materials Department, you will be responsible for managing the procurement and inventory of goods and services to ensure maximum guest satisfaction and consistency with our company standards.

Main Responsibilities
  • Operational Responsibilities:
    • Manage day-to-day administrative operations of the Materials Department, including purchasing and inventory control.
    • Maintain accurate records of all items requisitions, purchase requests, purchase orders, and inventory levels.
    • Ensure that all administrative inventory items, such as office supplies, are stored properly and utilized efficiently to minimize waste and spoilage.
    • Implement effective inventory control measures to prevent stockouts and overstocking.
    • Monitor and report unusual or excessively high consumption of inventory and non-inventory items to the Materials Manager.
    • Enforce all operating and control procedures to ensure that the movement of goods into and within the hotel is properly accounted for.
    • Adhere to internal control policies and procedures regarding receiving, inventory control, issuing, and emergency issuing.
    • Answer and route incoming telephone calls and assist with product requisitions and specifications from the kitchen.
    • Maintain inventory items, par stock items, and reorder points through the use of the Scala System.
  • Administrative Responsibilities:
    • Create purchase orders for all food and beverage requisitions through the use of the Scala System.
    • Ensure full compliance with the Departmental Operational Manual for the various areas of the Materials Management.
    • Operate and use the computer in accordance with established procedures.
    • Source and obtain price quotations for various purchase requests as advised by the Materials Manager.
Requirements
  • Ability to work independently and come up with proactive rational solutions.
  • Good written and verbal communication skills.
  • Ability to establish and retain effective working relationships with hotel staff and clients/vendors.
  • Excellent organizational skills.
  • Apply a professional, confidential, and ethical approach at all times.
  • Work in a safe, prudent, and organized manner.
  • Have a complete understanding of food safety standards/procedures.
  • Experience in a 5-star hotel as a Material Officer/Associate is a plus point.
