We are seeking a skilled Accounts Payable Specialist to join our team.
The primary function of this role is to maintain a system of purchase orders, receipts, invoices, and cheque requests in order to ensure timely and accurate payment of all hotel payables according to company policies and procedures.
This includes verifying that all invoices are supported by duly approved purchase orders when applicable, signed receiving documentation, and/or the approval of authorized management personnel. Additionally, ensuring invoices have relevant documents such as POs, AFE contracts, etc.
The successful candidate will be responsible for coding invoices to the appropriate general ledger account and submitting them to the Chief Accountant for verification. They will also obtain approval for invoices from the appropriate department prior to processing on the accounts payable system.
Main Responsibilities:
- Verify invoices against purchase orders, receipts, and other supporting documents
- Coding invoices to the correct general ledger account
- Obtaining approval for invoices from the appropriate department
- Ensuring invoices are correctly posted into the system
- Maintaining an up-to-date vendor/supplier database
- Printing and submitting cheques with supporting documents
