Job Description

We are seeking a highly skilled and experienced Executive Assistant to join our team at First Abu Dhabi Bank. The successful candidate will provide exceptional administrative support to the Group Chief Executive Officer (GCEO), handling correspondence, documentation, and other tasks with discretion and professionalism.

Key Responsibilities

  1. Act as the primary point of contact for all administrative requests, including correspondence, calendars, meetings, travel arrangements, and other related tasks.
  2. Provide confidential secretarial and administrative support to the Head of CEO office, assisting in daily activities and ensuring the effective operations of the CEO office.
  3. Manage and prepare the GCEO's calendar, scheduling meetings, events, conferences, and teleconferences, ensuring timely notifications and updates.
  4. Coordinate logistics for events, engagements, and meetings attended by the GCEO, working closely with the Protocol Assistant to ensure compliance with relevant procedures and protocol.
  5. Assist in preparing agendas, presentations, discussion points, and supporting documents for meetings, conferences, and committees attended by the GCEO.
  6. Track and follow up on the status of periodic reports, GCEO's requests, directions, and Board of Directors' critical circulars, in coordination with the Head of CEO office.
  7. Arrange travel itineraries and logistics for the GCEO, including flights, accommodation, expenses, and other travel needs.
  8. Develop reports and briefs about the GCEO's visitors.
  9. Manage the GCEO's inward correspondences, coordinating with the respective CEO office team members to ensure timely and appropriate responses.
  10. Maintain a database and filing/archiving system for all files and records related to the GCEO's work, ensuring compliance with data integrity and confidentiality procedures.
  11. Maintain accurate contact lists, including addresses, telephone directories, and communications of all stakeholders.
  12. Foster effective business relationships with key stakeholders to facilitate coordination between them and the CEO office.
  13. Undertake any other tasks or projects assigned by the GCEO.
