Job Description:

We are seeking an experienced Document Controller to join our team. The successful candidate will be responsible for managing, maintaining, and organizing all project documentation.

Responsibilities:
  1. Documentation Management:
    • Organize and track all incoming and outgoing documents.
    • Ensure documents are correctly labeled, indexed, and stored according to company policies.
  2. Compliance and Standards:
    • Maintain documentation in compliance with industry regulations.
    • Ensure version control and secure distribution of documents to authorized personnel.
  3. Coordination:
    • Liaise with project managers, engineers, and other teams to ensure documentation is up-to-date and accessible.
    • Coordinate with external vendors and clients for document submissions and approvals.
  4. Data Entry and Reporting:
    • Maintain document databases and generate periodic status reports.
    • Identify discrepancies and escalate issues to the appropriate teams.
  5. Process Improvement:
    • Suggest and implement improvements to document management systems.
    • Stay updated with new document control technologies and recommend upgrades.
Requirements:
  • Education: Diploma or degree in business administration, information management, or a related field.
  • Experience: Minimum of 2 years in document control, preferably in an engineering, construction, or industrial environment.
  • Technical Skills:
    • Proficient in document control software (e.g., Aconex, SharePoint) and Microsoft Office Suite.
    • Familiarity with ISO standards and compliance processes.
  • Soft Skills:
    • Strong attention to detail and organizational skills.
    • Excellent communication and interpersonal abilities.
    • Ability to prioritize tasks and meet deadlines in a high-pressure environment.
