  • Oversee all processes related to the inbound logistics of imported vehicles, serving as the primary liaison for both internal departments such as Logistics, Customs, and Finance, as well as external partners including the factory and principal.

  • Conduct necessary checks in alignment with the sailing schedule to monitor the arrival of vehicle models, and report findings in executive summaries.
  • Prepare and upload detailed VIN data, including model codes, descriptions, chassis numbers, engine numbers, and production details into the SAP system.
  • Initiate shipping notifications in SAP to facilitate customs clearance from the port.
  • Collaborate with the Logistics team to complete the CCM process and manage the GRN process, ensuring that the IV and BOE are handled by operations.
  • Review AF logistics invoices to ensure alignment with clearance activities for the finance department's payment processing.
  • Compile all necessary documentation for the clearance of vehicle shipments from the port.
  • Engage directly with the AFL Logistics Team regarding all vehicle clearance matters.
  • Prepare duty statements along with supporting documents for the Finance Department to guarantee timely payments and avoid penalties.
  • Process final settlements in SAP for each bill of entry to facilitate customs duty payments.
  • Act as the internal point of contact for Finance and Logistics teams.
  • Serve as the external contact for all communications with the principal and factory.
  • Provide Goods in Transit (GIT) information to the Finance team.
  • Create materials/models in SAP prior to the arrival of new vehicle models.
  • Adjust materials when adding accessories to enhance vehicle offerings.
  • Update the Recommended Selling Price (RSP) and discount conditions for each model in SAP for the sales team.
  • Request advance payments from the principal.
  • Initiate customs duty payment requests.
  • Manage orders and obtain necessary approvals from management.
  • Compile internal reports detailing sales, arrivals, and inventory for management review.
  • Maintain stock and arrival reports.
  • Provide arrival updates to the BIW team and generate management reports.
  • Update internal order sheets and submit for management approval.
  • Support logistics in controlling inbound processes and ensuring timely clearance documentation.
  • Maintain daily updates on sales, stock, arrivals, and orders.
  • Adjust orders based on business needs.
  • Manage sales and order planning in accordance with agreements with the principal.
  • Continuously update and maintain the Planning Sheet with comprehensive details on orders, arrivals, sales, and stock.

Essential Skills:

  • Proficient in SAP.
  • Experience in logistics, customs, and shipping operations.
  • Ability to manage and generate detailed reports.
  • Strong inventory management capabilities.

Team Overview:

  • This role reports to the Head of Operations and involves interaction with both internal and external stakeholders.

Qualifications:

  • Bachelor's Degree in Business Administration or a related field.
  • A minimum of 3 years of experience in the automotive industry in a similar capacity.
  • Proficient in MS Office Suite (Word, Excel, PowerPoint, MS Projects) and SAP, with knowledge of PowerBI.
  • Extensive understanding of inventory management systems and supply chain modules in various ERP systems.
  • Strong customer management skills.
