About the Job

This is a high-level administration position reporting directly to the HR & Administration Manager. The role involves overseeing day-to-day administration services, ensuring they are executed in a timely and cost-effective manner and in line with company policies.

Key Responsibilities
  • Direct all administrative services, supervising a team of staff and ensuring compliance with company policies.
  • Supervise PRO staff with relation to Government Relations functions, including Employee Visa applications, visa renewals, Emirates ID applications, site gate passes, etc.
  • Responsible for arranging staff transportation, scheduling, and monitoring of staff transfer buses.
  • Ensure all documentation regarding insurances is up to date and in compliance with current UAE requirements.
  • Supervise travel ticket booking and accommodation arrangements for employees.
  • Responsible for corporate purchases, evaluating quotations from suppliers, and supporting price negotiations.
  • Provide support on organization, budgeting, and execution of employee events.
  • Arrange company vehicles, registration, and maintenance, ensuring competitive pricing from vendors.
  • Sourcing and maintenance of living accommodation for employees if required.
  • Responsible for scheduling drivers, receptionists, office attendants, cleaning staff.
  • Monitor training and employee development requirements.
Requirements
  • At least 8 years of administration experience, with at least 4 years as an Administration Supervisor in Abu Dhabi.
  • Excellent knowledge of UAE Visa Requirements and relevant experience of dealing with same.
  • Experience of managing a diverse team in a professional and organized manner.
  • Fluency in written and spoken English.
  • Ability to manage time and work under pressure.
  • Able to focus and drive tasks to completion.
