Orthodontics Office Medical Secretary

Female medical secretary is required in an orthodontics office to support the smooth operation of the practice and ensure excellent patient care.

Key responsibilities:
**1. Patient Scheduling and Coordination**
- Schedule appointments for new and returning patients.
- Coordinate with patients to arrange follow-up visits and manage appointment calendars.
- Handle rescheduling and cancellations as needed.

**2. Patient Reception**
- Greet patients as they arrive at the office.
- Check in patients, verify their information, and ensure all necessary forms are completed.
- Manage patient flow to ensure timely appointments.

**3. Communication**
- Answer phone calls and respond to patient inquiries.
- Communicate with patients about appointment reminders, treatment plans, and financial arrangements.
- Coordinate communication between orthodontists, patients, and other healthcare providers as needed.

**4. Medical Records Management**
- Maintain and update patient records, ensuring all information is accurate and confidential.
- Prepare and organize patient charts for orthodontists before appointments.
- Ensure that records are compliant with healthcare regulations, such as HIPAA.

**5. Billing and Insurance**
- Handle patient billing, including creating invoices and processing payments.
- Verify patient insurance coverage and handle pre-authorizations for orthodontic procedures.
- Submit insurance claims and follow up on any discrepancies or denials.
- Assist patients with understanding their insurance benefits and financial responsibilities.

**6.Office Administration**
- Order and maintain office supplies, ensuring the office is well-stocked and organized.
- Prepare and distribute correspondence, such as referral letters, treatment summaries, and patient education materials.
- Assist with general office management tasks, such as filing, faxing, and scanning documents.

7. Patient Relations
- Provide a friendly and professional environment to ensure a positive experience for patients.
- Address and resolve patient concerns or complaints in a timely and effective manner.
- Assist patients with scheduling consultations or procedures with specialists if needed.

8. Financial Management
- Track patient accounts, including payment plans and outstanding balances.
- Prepare financial reports for the orthodontic practice, such as daily collections and accounts receivable.
- Reconcile payments and deposits at the end of each day.

9. Regulatory Compliance
- Ensure that the office complies with all healthcare regulations, including OSHA and HIPAA.
- Stay informed about changes in regulations that may affect office practices.

10. Support for Orthodontists and Clinical Staff
- Assist orthodontists and clinical staff with administrative tasks, such as preparing treatment plans and ordering lab work.
- Coordinate the transfer of records to other specialists or healthcare providers as needed.

11. Marketing and Patient Outreach
- Assist with patient outreach programs, such as recall notices or newsletters.
- Help manage the practice’s social media accounts or website if applicable.
- Assist with marketing initiatives, such as community events or referral programs.

Pay: AED2,500.00 - AED3,000.00 per month
