We seek a highly efficient talent to join our client, a leading firm in the financial services industry as a Secretary to the CEO.
Details of the position:
Reporting to the CEO, the successful hire will manage the CEO's schedule, coordinate meetings, prepare reports, handle confidential information with the utmost discretion etc.
**Responsibilities**:
- Manage the CEO's calendar and schedule appointments, meetings, and conference calls, ensuring optimal use of time and resources.
- Organize and coordinate internal and external meetings, including scheduling, preparing agendas, distributing materials, and recording minutes as required.
- Coordinate travel arrangements, including flights, accommodations, and ground transportation, and prepare detailed itineraries for domestic and international trips as required.
- Prepare and edit correspondence, presentations, reports, and other documents as needed, ensuring accuracy, professionalism, and adherence to company standards.
- Anticipate the CEO's needs and proactively provide support, including researching and gathering information, preparing briefing materials, and managing special projects as assigned.
- Assist in preparing meetings, coordinating logistics, preparing materials, and liaising with key stakeholders.
- Handle confidential and sensitive information with the highest level of discretion and confidentiality, maintaining confidentiality agreements and protocols as required.
- Act as a liaison between the CEO and internal departments, external partners, clients, and stakeholders, facilitating communication and collaboration.
- Manage administrative tasks including expense reporting, invoice processing, and file management, ensuring accuracy and compliance with company policies and procedures.
Qualifications:
- Bachelor's degree in business administration, finance, or a related field preferred.
- Proven experience (2+ years) as a Secretary or similar role supporting C-level executives, preferably in the financial services industry.
- Excellent organizational skills and the ability to prioritize tasks effectively in a fast-paced environment.
- Strong interpersonal skills and the ability to interact professionally with individuals at all levels, both internally and externally.
- Exceptional written and verbal communication skills, with a keen eye for detail and accuracy.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Proactive mindset with the ability to anticipate needs and take initiative to address them.
- Experience managing executive calendars is highly desirable.
- Flexibility to adapt to changing priorities and work outside regular business hours when necessary.
Pay: AED4,500.00 - AED5,500.00 per month
