**POSITION PURPOSE**
- The Front Office Assistant is responsible for providing administrative support to the Country Manager in accordance with IDP policies.
- Strict adherence to administration requirements is an essential part of the job.

**RESPONSIBILITIES**

**_ Information system_**
- Receive, direct and relay telephone messages and fax messages.
- Pick up and deliver the mail.
- Record and handle all incoming and outgoing couriers.

**_ Visitors management_**
- Welcome visitors and guests and direct appropriately.
- Register walk-in, call-in students on Client Relation Management (CRM) system and assign to counsellors.

**_ Meetings_**
- Assist in planning and preparation of meetings, conferences and conference telephone calls.
- Make preparation for meetings.

**_ Office instruments_**
- Maintain an adequate inventory of office supplies.
- Monitor the use of supplies and equipment.
- Coordinate the repair and maintenance of office equipment.

**_ Secretary tasks_**
- Provide word-processing and secretarial support.
- Ensure office is in order at all times.
- Assist the Office Manager and other staff as required.

**WHAT WE'RE LOOKING FOR**

**Essential requirements**:
University graduate with 2-3 years’ experience in a similar position.

Excellent in English language, especially English speaking & listening.

Customer Service oriented

Excellent communication and problem solving skills.

Committed to hard work and continual learning.

Effective verbal and listening.

Word processing programs at a highly proficient level.

Time management skills.

**Minimum expectations**

Receiving/directing queries in timely and professional manner.

Accurate registration of all leads on CRM system

Ability to interact effectively as a member of the team and work collaboratively with other departments.

Thrive in an environment where there are multiple priorities and changing assignments.
