**Role Profile: Personal Assistant to the Owner of a Wedding and Event Management Business**
**Job Title**: Personal Assistant
**Reports To**: Owner, Wedding and Event Management Business
**Job Overview**:
**Key Responsibilities**:
1. **Administrative Support**:
- Manage and organize the owner's calendar, including scheduling meetings, appointments, and travel arrangements.
- Prepare and organize documents such as contracts, proposals, and presentations.
2. **Meeting and Task Coordination**:
- Coordinate and prepare for meetings, including agenda preparation, minute taking, and follow-up on action items.
- Manage and prioritize a variety of tasks and projects assigned by the owner, ensuring deadlines are met.
3. **Event Coordination Assistance**:
- Assist in various aspects of event planning, including vendor communication, client liaison, and on-site coordination.
- Help in the design and execution of event concepts, themes, and layouts.
- Provide support during events, including problem-solving, coordination of staff, and ensuring client satisfaction.
4. **Client Interaction**:
- Act as a point of contact for clients in the owner’s absence, maintaining professionalism and confidentiality.
- Assist in client consultations and follow-ups, ensuring client needs are addressed promptly.
5. **Miscellaneous Duties**:
- Perform general office duties, such as filing, copying, and maintaining office supplies.
- Conduct research and gather information as needed for projects and events.
- Undertake personal errands for the owner as required.
**Qualifications**:
- Proven experience as a personal assistant or in a similar role.
- Excellent organizational and time-management skills.
- Strong communication and interpersonal abilities.
- Proficiency in Microsoft Office Suite and familiarity with event management software.
- Ability to work flexibly and adapt to changing priorities.
- High level of discretion and confidentiality.
- Passion for the events industry is a plus.
**Working Conditions**:
- This role may require working outside of standard office hours, including evenings and weekends, especially during events.
- Some travel may be required for event locations or vendor meetings.
