**JOB DESCRIPTION**

**Quality and Safety Officer**

**1. JOB PURPOSE**

To be actively involved in the planning, implementation and continual improvement of the hospital’s quality management system.

**2. MAIN RESPONSIBILITIES**

1. Participates effectively in the various activities concerning the conduct of the hospital business planning.

2. Assists various departments in the formulation of operational plans in accordance to the set strategies of the hospital as deemed necessary.

3. Takes part in the review and documentation of policies and procedures and forms of various departments.

4. Conducts data gathering activities to determine the documentation requirements of the various departments.

5. Handles the actual documentation of policy, procedures and protocols for various departments. Ensures that all documentations conform with the standards for document and records control.

6. Ensures that internal and external documents / records in the hospital are maintained and continuously updated.

7. Participates in the planning and implementation of internal audit and external audit activities.

8. Prepares audit matrix based on the approved audit plans.

9. Formulates an adequate audit checklist.

10. Organizes the audit kit for internal auditors in a timely manner.

11. Coordinates the meetings and correspondence related to the conduct of the quality audit.

12. Collaborates effectively with internal quality auditors to ensure smooth conduct of audit exercises.

13. Performs regular follow-up activities with internal auditors and concerned departments in relation to the completion of audit reports.

14. Prepares for the conduct of the external quality audit.

15. Liaises with the external subcontractor for the scheduling of the external quality audit.

16. Assists in information dissemination and arrangements of internal schedules to ensure the successful conduct of the surveillance audit.

17. Ensures that all relevant documents are updated, completed and available prior to the external audit.

18. Coordinates with various departments to ensure that the hospital is prepared for any site visits.

19. Monitors reports on nonconformance on a regular basis.

20. Summarizes and analyzes all incident reports, preventive and corrective actions.

21. Maintains a log of all amendments to the quality management system.

22. Ensures that relevant information related to Management Reviews are properly endorsed and communicated to concerned departments.

23. Takes part in the implementation of quality-related courses and meetings including:
24. Organizes the scheduling of participants to courses and meetings.

25. Arranges for the reproduction of training handouts, materials and other documents.

26. Coordinates information dissemination and scheduling of participants to courses and meetings.

27. Co-facilitates the course/ meeting as assigned.

28. Tabulates and summarize course evaluations.

29. Responsible for developing, implementing, monitoring and updating key performance indicators (including JAWDA KPIs)

**1. EHS Responsibilities**

3.1 Comply with all EHSMS policies, standards, and procedures affecting the work and avoid misusing anything provided in the interests of health, safety, or protection of the environment.

3.2 Help in developing and establishing safety programs.

3.3 Follow established procedures and not take any shortcuts.

3.4 Assist in investigations.

3.5 Report hazards and incidents.

3.6 Provide feedback.

**2. MINIMUM REQUIREMENTS**

1. Excellent interpersonal and communication skills with a tactful manner when working with people.

2. Good command of written and spoken English language

3. Organized and able to work methodically.

4. Presentable and professional attitude as well as a confident and enthusiastic personality

5. Able to be effectively lead and motivate a professional team

6. Excellent problem solving in decision making skills

7. Critical thinking skills

8. Able to relate to people from different cultural backgrounds

9. Internal Auditor Training (minimum)

10. CPHQ Certification Proffered

11. Hodler bachelor's degree

12. 2 Years experience in UAE for quality & safety role.
