Public Relations Officer

Under supervision of HR/ PRO is expected to:
1. Establish good relationships with all Government entities (including but not limited to: MOL, Ministry of Education/ ADEK, Ministry of Human Resources and Emiratisation departments, Municipality, Embassies, various companies that provide services to the school and maintain their contacts, etc.
2. Assist in solving any issues that may arise from Local Entities (including but not limited to MOL, Ministry of Education/ ADEK, ATVET, Ministry of Human Resources and Emiratisation departments, Municipality, Airport Immigration, etc.).
3. Manage issuance and renewal of trade, commercial licenses, any other legal licenses, documents, contracts with subcontracting companies, etc. required for the smooth school’s (Russian Language Centre inclusive) operations.
4. Obtain visit/ tourist and residency visas for all expatriate Employees and visitors (where is required).
5. Manage the visas, extensions of visas, exit and re-entry to the UAE process for the Employees where is required.
6. Obtain work permits, ensure all Employees have labour cards, residency visas, EIDs, and so on.
7. Assist HR with health insurance issuance and issues (where is necessary).
8. Provides HR with required reports.
9. Provides reports and detailed expense spreadsheets to HR and Finance departments.
10. Ensure HR Department has copies of all Employees and Subcontractors (where applies) documents.
11. Assist HR to ensure that all of the school's Employees and Subcontractors have ADEK/ MOE & ACTVET (where is required) approvals and liaise with the relevant Government Educational departments for clarifications as necessary.
12. Assist the HR Department with Arabic translations and documents comprehension as needed.
13. Assist with writing formal Arabic letters when required to ensure smooth school operations.
14. Maintain and update records of various school and Employees’ documents, as well as generate and provide related reports in response to HR Department inquiries.
15. Closely work with and advise HR Department.
16. Maintain accurate records of the work that needs to be done, has been done, payments that have been made, and record all the transaction numbers that have been processed.
17. Track processing fees and costs for legal, employment, other documents and provide HR Department regular summaries, updates.
18. Closely collaborate with HR to provide accurate steps for dependents of school’s employees sponsorships, visa issuances, renewals, and other needs in order to guarantee that RSAD staff members are aware of Local Authorities requirements and regulations. Provide advice and assistance to school staff regarding sponsorship for their families. Provide legal advice in case of any issues where is necessary.
19. Update school’s management on any new regulations and amendments that are relevant to the school’s operations or staff issued by Local Authorities.
20. Facilitate and follow-up on cancellation of work permit, visas of the leavers.
21. Facilitate flights arrangements where is required.
22. Facilitate complex medical / police procedures in the event of death of any employee or next to kin.
23. Assist employees with temporary housing arrangements, permanent housing lease agreements, and termination issues, and communicate with landlords and employment agencies as necessary.
24. Liaise with relevant Embassies where is required.
25. Liaise with the employees’ and school’s documents attestation and legalization.
26. Provide periodical (upon agreement) reports to HR on completed and outstanding tasks.
27. Respond to HR or school’s Management queries in a prompt manner, provide information and solutions required.
28. Respond and deal promptly and productively on general inquiries in relation to PRO functions.
29. Perform any other tasks as per the school’s needs/ assigned by the Principal/ HR Manager.
**Requirements**:
- **Experience**: 3 years of similar job experience.
- **Qualifications**: Diploma degree is required/ Bachelor’s degree is a plus.
- **Other requirements**:
- Willing to work flexible hours, be available on weekends in case of emergency, and so on.
- Fluent in both Arabic and English (spoken and written). The ability to draw official letters in both languages where is required.
- Familiarity with UAE laws and rules, immigration policies, documentation requirements, various local departments' operational systems, etc.
- The ability to establish and maintain relationships with various government institutions.
- Eagerness and interest continuously follow and learn about changes of local rules and regulations.
- Excellent organizations, networking and interpersonal skills.
- Good influencing skills.
- Valid Driving License.
- Good computer skills (MS Office; Google Workplace).
