Admin and Accounts Coordinator

**1. Administrative/Crewing Duties**:
- Maintain a database of qualified seafarers and their certifications, licenses, and medical records.
- Collaborate with recruitment agencies and conduct interviews to hire new crew members.
- Ensure that all crew members have the required qualifications and certifications for their assigned positions.
- Coordinate crew changes, including arranging flights, transportation, and accommodations for crew members joining or leaving vessels.
- Identify crew training needs and coordinate necessary training programs.
- Track and maintain records of crew training and certification renewals.
- Ensure that crew members are up-to-date with safety and security training.
- Maintain effective communication with vessel captains, port agents, and relevant authorities.
- Facilitate communication between crew members and the shore-based management team.
**2. Accounts Receivable and Payable**:
- Assist the Accountant in Processing of invoices, purchase orders, and expense reports.
- Assist in the preparation of financial reports and statements.
- Monitor accounts receivable and follow up on outstanding payments.
- Liaise with vendors, clients, and internal departments regarding financial matters.
- Reconcile bank statements and financial accounts regularly.
- Assist with payroll processing and employee expense reimbursements.
- Help with budget tracking and expense management.
The Administration & Accounts Coordinator plays a multifaceted role in ensuring the efficient functioning of an organization. They contribute to both the administrative and financial aspects of the business, making them a valuable asset in maintaining order and financial accuracy within the company.
**Salary**: AED3,000.00 - AED3,500.00 per month
Ability to commute/relocate:
- Dubai: Reliably commute or planning to relocate before starting work (required)
**Language**:
- English & Hindi and Arabic will be an added advantage (preferred)
