Legal Secretary

As a Legal Secretary, you will play a pivotal role in supporting our legal team by providing administrative assistance and ensuring the smooth and efficient operation of our legal practice. Your exceptional organizational and communication skills will be critical in managing the day-to-day activities of the office and coordinating various legal tasks. This position requires a strong attention to detail, the ability to multitask, and a proactive approach to problem-solving.
**Responsibilities**:
Administrative Support: Manage and maintain schedules, calendars, and appointments for the legal team. Coordinate meetings, conferences, and travel arrangements as required.
**Document Management**: Prepare, draft, proofread, and edit legal documents, contracts, and correspondence. Maintain electronic and physical filing systems to ensure easy retrieval and secure storage of confidential information.
**Client Interaction**: Handle incoming calls, respond to inquiries, and direct calls to the appropriate personnel. Provide a professional and friendly first point of contact for clients and other external parties.
**Case Management**: Assist in organizing and maintaining case files, trial exhibits, and relevant documents. Monitor deadlines and follow up on pending legal matters to ensure timely completion.
**Legal Research**: Conduct legal research under the direction of attorneys to gather relevant information and precedents related to cases or legal issues.
**Billing and Finance**:Assist with billing and invoicing processes. Track expenses and maintain financial records related to legal matters.
**Liaison**:Interact with courts, government agencies, and other law firms on behalf of the legal team.
**Technology Utilization**:Utilize legal software and tools effectively to enhance efficiency and productivity within the legal department.
**Compliance and Ethics**:Adhere to company policies and legal guidelines, ensuring confidentiality and maintaining the highest level of ethical standards.
Continuous Improvement: Proactively identify opportunities for process improvements and suggest innovative ideas to enhance the efficiency of legal operations.
- Must have at least 1 year of experience in Dubai
- Proven experience as a Legal Secretary or similar role in a law firm or legal department.
- Proficiency in using legal software and MS Office suite.
- Excellent written and verbal communication skills in English. Knowledge of Arabic is a plus.
- Strong organizational skills with the ability to prioritize tasks and handle multiple deadlines.
- Attention to detail and accuracy in preparing legal documents and maintaining records.
- Professional demeanor and the ability to maintain confidentiality.
- Familiarity with UAE legal procedures and practices would be advantageous.
