We’re searching for problem solvers, people who operate with a bias for action and have a deep understanding of the importance of detail-oriented work.
**What We’re Looking For**:
We are looking for an Executive Assistant to provide high-level administrative support to senior management within an organization. They are responsible for managing and coordinating various administrative tasks. The Administrative Assistant acts as a trusted partner, handling confidential information of the Senior Management.
**RESPONSIBILITIES**:
- **Administrative Support**: Provide comprehensive administrative support to Senior Management, including managing calendars, scheduling meetings, arranging travel, handling correspondence, and organizing documents and files.
- **Communication Management**: Serve as a primary point of contact for internal and external stakeholders, including clients, employees, and business partners. Manage and prioritize incoming communications, respond to inquiries, and draft correspondence on behalf of the Senior Management
- **Meeting Coordination**: Plan and organize meetings, conferences, and events. Prepare agendas, coordinate logistics and take minutes. Follow up on action items and ensure timely completion.
- **Information Management**: Gather, analyze, and summarize data or information required by the Senior Management. Conduct research, compile reports, and prepare presentations to support decision-making processes.
- **Confidentiality and Discretion**: Handle sensitive and confidential information with utmost discretion. Maintain privacy and protect the Senior Management’s interests and the organization's reputation.
- **Relationship Management**: Build and maintain effective working relationships with internal and external stakeholders. Liaise with other departments, clients, suppliers, and partners to facilitate smooth operations and collaboration.
- **Prioritization and Time Management**: Assist the executive in managing their workload by prioritizing tasks, managing deadlines, and ensuring important matters receive appropriate attention and follow-up.
- **Continuous Improvement**: Identify opportunities to improve administrative processes, streamline workflows, and enhance operational efficiency. Implement best practices and suggest innovative solutions to optimize the executive's effectiveness.
**KNOWLEDGE/QUALIFICATIONS/EXPERIENCE**:
- Minimum of 3 years’ experience in Executive Assistant or Admin Roles is strongly preferred.
- Bachelor's degree in business administration or a related field (preferred).
- Excellent organizational and time management skills.
- Strong written and verbal communication abilities.
- Proficient in using MS Office suite and other relevant software.
- Exceptional attention to detail and accuracy.
- UAE Driving License is preferred.
- Flexibility and adaptability to changing priorities and requirements.
