**Job Title**: Receptionist
**Department**: Administration
**Reports to**: Office Manager
**Summary**:
The Receptionist is responsible for providing administrative and customer service support to the office. Duties include greeting and welcoming visitors, answering and directing phone calls, scheduling appointments, and maintaining the reception area.
**Essential Duties and Responsibilities**:
- Greet and welcome visitors in a professional and courteous manner.
- Answer and direct phone calls in a timely and efficient manner.
- Schedule appointments and maintain the appointment calendar.
- Receive and distribute mail and packages.
- Maintain the reception area in a clean and organized manner.
- Provide administrative support to the office, as needed.
- Answer questions about the company and its products or services.
- Handle customer complaints in a professional and tactful manner.
- Assist with special projects as needed.
- Stay up-to-date on industry trends and best practices.
**Skills**:
- Excellent customer service skills.
- Strong communication skills, both verbal and written.
- Proficient in Microsoft Office Suite **(Microsoft excel, word, powerpoint is mandatory).**:
- Ability to work independently and as part of a team.
- Ability to maintain a professional appearance and demeanor.
- Ability to work under pressure and meet deadlines.
- Bilingual in English and another language is a plus.
**Additional Tasks**:
- Make travel arrangements for employees.
- Order office supplies.
- Compile reports.
- Photocopy and fax documents.
- Data entry.
- Other duties as assigned.
**Qualifications**:
- High school diploma or equivalent.
- 1-2 years of experience in a receptionist role.
- Excellent customer service skills.
- Strong communication skills, both verbal and written.
- Proficient in Microsoft Office Suite.
- Ability to work independently and as part of a team.
- Ability to maintain a professional appearance and demeanor.
**Physical Demands**:
The Receptionist is required to sit for extended periods of time. The Receptionist is also required to stand and walk occasionally. The Receptionist may be required to lift and carry light objects.
**Work Environment**:
The Receptionist works in a standard office environment. The Receptionist is occasionally exposed to noise from phones and other office equipment.
