1. Provide administrative support to the CEO in managing her diary, the organisation of meetings and the maintenance of confidential documents and files.
2. Provide support to the CEO in the prioritisation of her workload and responding appropriately and filtering requests on her behalf.
3. Provide administrative and secretarial support to the Chair of Trustees, Trustees and Company Secretary, including the organisations of meetings, preparation of agendas, minutes and papers. Liaising with Trustees, Directors and Managers as required.
4. Responsible for the administration of Board of Trustees and Board Committee meetings.
5. Organise attendances at external conferences, away days and other meetings as required.
6. Line Management, training and development of the general office volunteers.
7. Responsible for the maintenance of the hospice’s incident and risk management systems
8. Responsible for the maintenance of the hospice’s Policy files.
9. Responsible for the Stationery Budget; overseeing the procurement, and authorisation of stationery from requisition to delivery.
10. Responsible for organising and communicating the senior management on call rota; maintaining, co-ordinating and distributing the on call documentation weekly to managers.
11. Work collaboratively with the PAs to the CSD and Consultant.
Ability to commute/relocate:
- Dubai: Reliably commute or planning to relocate before starting work (required)
