Executive Assistant

**Purpose**: To manage the entire business and personal affairs of the Managing director in the most efficient and organized manner. To liaise with various entities within the group and act as main source of coordination among group companies.

**Main Duties**:
**Handle MD’s day to day affairs including**:

- Keeping his diary up to date and remind him of his upcoming appointments
- Receive and greet guest arrivals to the office
- Renew contracts including insurance policies, AMCs, others
- Arrange for the renewal of domestic workers visas
- Making payments on MD’s behalf for various office purchases

**Manage MD’s rental properties in the UAE including**:
**-**Renewal of rental contracts
- Communicating with tenants regarding any issues they may have
- Arranging for maintenance to be carried out as and when required
- Communicating with Agents for renewal of vacant units
- Arranging for insurance for the properties
- Ensuring payments are collected and deposited in the bank on time
- Processing Tawtheeq and Ejari processing on portals
- Preparing regular property tracker

**Manage MD’s Property overseas including**:

- Ensuring payment is made for the community services
- Ensuring all foreign taxes are paid on time to avoid any penalties
- Communicating with the Property Management company and the caretaker
- Preparing documents for the annual SCI audit
- Liaising with maintenance companies for any maintenance requirements
- **Ensure MD’s vehicles are insured and renewed on time**:

- **Coordinate with other group offices in Ras Al Khaimah and Dubai for any requirements**:

- **Keep custody of all original documents including title of deeds, contracts, and all other important documents in the Safe**:

- **Organize all the filing of all documents both on hardcopy and digital copies**:

- **Renew office lease and negotiate rents with office landlord to keep the rental rate as low as possible**:

- **Keep custody of the petty cash for the office requirements**:

- **Purchase supplies for office**:

- **Organize events for the company staff and other events**

**Qualifications**:University degree from an accredited university

**Experience**:Minimum of 3 years experience as office manager / executive assistant in the UAE

**Skills and Competencies**:

- Great organizational skills
- Communication skills in Arabic, English and preferably in French
- Good command of MS Office
- Administration skills and file systems management
- Attention to details
- Accounting skills - preferred
- Negotiation Skills
- Teamwork
